Job description

Job Summary:

This position reports to the Payroll & Benefits Associate Director in the School of Medicine and Public Health (SMPH) and is independently responsible for performing a wide variety of activities in the UW Human Resources System (HRS). These responsibilities include all HRS modules which include payroll, leave accounting and Benefits. This position works with departmental supervisors and managers on HRS matters for Faculty, Academic Staff, and Limited appointments (FAASLI), Temporary Employees (TE), unclassified Student assistants (RAs, TAs, PAs), and student hourly appointments.
This position is a member of the SMPH Human Resources team and by its nature, the candidate is aware of confidential records and conversations that directly affect the employer-employee relationship. A strong candidate will have:

Responsibilities:

Processes payroll, receives employee payroll changes, and provides routine human resources information to one or more work units in order to ensure timely and accurate payroll transaction processing. Maintains personnel records and assists with work unit operational policy development. Provides accurate, timely, and comprehensive benefit information and counseling to employees to assist audiences in understanding benefits eligibility, selection, and enrollment rules.
  • 5% Prepares, organizes, disseminates, and processes Payroll and benefit resources, communications, and materials for one or more work units through various mediums under general supervision
  • 10% Prepares and audits standard work unit payrolls, and completes payroll transactions and changes adhering to established policies and procedures to meet anticipated deadlines
  • 35% Receives, responds to, and resolves employee Payroll and benefit questions and problems
  • 30% Counsels new, existing, and terminating employees on Payroll and benefit options, timelines, taxes, and deductions
  • 10% Assists employees with the completion of benefit enrollments, changes, and maintenance of employee records according to established policies and procedures
  • 5% Represents unit/program at payroll workshops, informational meetings, and training sessions
  • 5% Contributes to the development, implementation, interpretation, and revision of work unit Human Resources policies and procedures according to institutional and legal rules and regulations

Tasks:

  • Audit, Run reports bi-weekly to assure employees are paid accurately and timely
  • Monitor work hours for ACA compliance
  • Serve as backup to other Payroll Specialist within SMPH
  • Provide benefit information and updates to individual employees on an ongoing basis
  • Attend training and sessions on UW benefits to keep abreast of the latest changes. Serve as liaison between Department and the office of Human Resources Employee and Benefits Services

Qualifications:

Required:
  • Knowledge and ability to use word processing, email, and spreadsheets.

Preferred:
  • At least one year of payroll processing and/or benefits administration experience is preferred. Internship and student experience will be considered.
  • Knowledge of and ability to interpret policies and procedures relating to UW System policies and procedures.
  • Knowledge of producing and utilize reports using PeopleSoft software.
  • Proven ability to work independently by overseeing multiple projects simultaneously with tight deadlines.
  • Strict attention to detail with excellent time management and organizational skills.
  • Strong communication skills to provide accurate, timely, and professional responses to internal and external customers.
  • Strong problem-solving skills.
  • Critical and conceptual thinking skills.

Work Schedule:

Typical business hours are Monday - Friday 7:45am - 4:30pm. Schedule can be modified upon hire.

Full Time: 100%
This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $26.00 HOURLY
Depending on Qualifications
  • The starting salary for a candidate who can fulfill most job responsibilities and only requires general supervision or occasional guidance is between $26.00 and 27.07 per hour.
  • The starting salary for a candidate who can competently perform all job responsibilities independently is between $27.07 and $31.13 per hour.

Actual pay is determined at hire and is based on experience and qualifications.

Additional Information:
