PAYROLL ADMINISTRATOR

Job Summary
Responsible for a variety of clerical duties related to employee onboarding, payroll administration, attendance accounting, record-keeping, and providing support to the Human Resources Manager.
Essential Duties & Responsibilities
- Perform a wide variety of responsible clerical, technical, administrative, and office support duties within the Human Resources department.
- Process new hires and terminations.
- Administer and process payroll for employees while being familiar with payroll laws.
- Communicate professionally with all supervisors/management for all payroll-related issues.
- Biweekly transfer of payroll data in ADP system.
- Verify and calculate payable hours, tax withholding, and deductions.
- Ensuring the payment of employees and audit payroll prior to processing.
- Create weekly and bi-weekly salary sheets and reports.
- Process and review employee timesheets to calculate hours worked and pay rates.
- Data entry in the payroll system to ensure accuracy.
- Communication with employees and management regarding payroll and attendance questions.
- Prepare payment vouchers for direct deposit or manual checks.
- Process and enter payroll data such as state, federal and other garnishments, leave of absence, and all payroll deductions into ADP.
- Process all accrued sick leave, vacation pay, holiday pay, leave of absence time, and other time per payroll procedures.
- Respond and process all employee verification of employment documentation and any correspondence promptly.
- Manage electronic timekeeping systems or manually collect and review timesheets.
- Provide information and answer employee questions about payroll-related matters.
- Prepare payroll reports for management review, such as total hours worked by each employee by week or month, total gross wages paid, and total net pay amounts.
- Ensure compliance with employment law.
- Work closely with HR Manager on the tracking of employee absences and attendance recordkeeping processes.
- Maintain employee records, attendance, employee training, and records of garnishments, garnished wages, and other withholdings such as child support payments, etc.
- Conduct all company new hire orientations.
- File documents and assist with audits.
- Publish and update job ads on careers pages.
- Schedule interviews, screen resumes, and job applications.
- Store, copy, and scan company policies, documents, payroll, etc.
- Serve as a backup to the receptionist: Operate telephone switchboard, provide information, take messages, and place the switchboard on night mode.
- Perform other duties and responsibilities as assigned by the manager.
Education and Experience
- Associates degree (A.A) or equivalent from a two-year college or two or more years of related experience; or an equivalent combination of education.
- Proven work experience as a Payroll Administrator or in a similar role.
- Work experience in Payroll Administrator or in a similar junior role in Payroll.
- Good understanding of HR operations (recruiting, onboarding, training, and compensation).
- Proficiency in Microsoft Office and payroll software programs.
- Proficiency in Excel.
- Excellent written and verbal communication skills.
- Good time management and organizational skills.
- 2-5 years of payroll processing experience.
- Detail-oriented with the ability to work independently.
- Strong analytical and organizational skills.
- Ability to work under deadline pressure.
- Effective multitasking ability.
- Bilingual in Spanish preferred.
Physical Requirements
- Sedentary – frequent to continuous.
- Bending/stooping/squatting/kneeling – occasional.
- Lift and carry up to 15-20 lbs. on an occasional basis.
- This is largely a sedentary role; however, filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary.
