Location: The Salvation Army Divisional Headquarters, Jackson MS.

Position Title: Payroll Administrator

Position Type: Full Time / 60 Biweekly Hours

Pay Rate: $20.00- $21.00

Schedule: Monday – Thursday (8:30 am – 4:30 pm)

About this opportunity:

  • Processes multi-state and multi-facility payroll biweekly for 1,000+ employees; overseeing all administrative activities related to payroll, reconciliation of employment tax, wage garnishments, and benefits deductions; trains field users on payroll system and applicable websites; serves as a liaison with the payroll vendor, tax authorities, judicial systems and other external companies.

Responsibilities include:

  • Prepare, process, and distribute multistate bi-weekly and seasonally weekly payroll, adhering to local, state, and federal payroll regulations.
  • Ensures adherence to organization’s payroll related policies, procedures, and regulations.
  • Serves as Divisional Administrator and liaison for payroll matters regarding the implemented payroll system and corresponding processes.
  • Enters various payroll information for new hires and existing employees for the Division into the payroll system from information obtained from the Human Resources Department throughout the course of the pay period.
  • Terminates employees in the payroll system.
  • Verifies and proofs trial payroll for Divisional Headquarters and ensures the field does the same.
  • Acts as administrator of the pay card system; prepares, loads, assigns, processes, and verifies necessity and accuracy of and keypunches information for pay cards issued and/or adjustments needed.
  • Prepares and reviews reports for payroll bank transfers for reasonableness.
  • Generates and/or prepares various custom and generic reports including the bank draft, payroll deductions for human resources and payroll accounting for the Finance Department and field units, as needed.
  • Reviews and verifies the billing invoices from the payroll administration vendor.
  • Generates reports and verifies the totals of all W-2 forms.
  • Receives and maintains all garnishment records served through the Division.
  • Prepares payroll audit reports and material for Commands and Divisional Headquarters.
  • Works closely with Divisional Benefits Administrator to process, maintain, and reconcile benefit premiums.
  • Prepares reports for journal entries; assists Divisional accounting staff in reconciling the General Ledger balance with payroll journal entries for deductions and payments for benefits, third-party payments, wage attachments, and federal, state, and local taxes.
  • Serves as consultant for other Salvation Army company codes within the division.
  • Oversees implementation and migration with the Payroll Administration System to implement software upgrades or conversions.
  • Maintains electronic files and the confidentiality of all employee payroll records.
  • Generates and distributes Christmas (and other) bonus reports for Divisional Headquarters and field employees for proofing based on the applicable Minute(s).
  • Receives annual pay increase data and imports into the payroll software according to payroll system specifications.
  • Manages unclaimed payroll checks.
  • Monitors, updates, and processes the bi-weekly officer allowance payment.

What we are looking for in you:

  • Two-year degree from an accredited technical or vocational school,

         and

  • Four years’ experience preparing payroll records for a large number of employees utilizing modern payroll practices,

         or

  • any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Physical Requirements and Working Conditions:

Ability to meet attendance requirements. Ability to read, write, and communicate the English language. Ability to perform mathematical calculations. Ability to type and keypunch information into a computer. Ability to sort and file documents alphabetically and numerically. Ability to operate various general office equipment including a telephone, computer, and adding machine. Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.

WORKING CONDITIONS:

Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
