Position Summary:

Performs a variety of front and back-office responsibilities The Center for Health and Prevention Reproductive Healthcare Clinics. Facilitates clinic flow, maintains medical records, enters data into the Practice Management System/Electronic Health Records (PMS/EHR), and provides education to all clients. Adheres to all federal, state and grant requirements.  Supports CAPSLO's mission by providing clerical assistance in the registration of patients at the clinics, ensuring they are treated with respect and are able to see the medical provider expediently.
Required Education and Experience:

Level I:
Must possess a Medical Assistant (MA) certificate, Certified Nurse's Assistant certificate (CNA) or onsite training. 6 months of front or back-office experience in a medical practice desired.  Must have a High School Diploma/GED or equivalent and be at least 18 years of age.

Level II:  
One year of related experience, plus a minimum of one year as a Patient Services Assistant I for The Center for Health and Prevention, and proficient in all level I front or back-office duties. 
OR
Three years of experience in a medical environment plus a minimum of six months as a Patient Services Assistant I at The Center for Health & Prevention and proficient in all level I front or back-office duties.

Level III:
Two years of related medical experience plus a minimum of two years as a Patient Services Assistant or an equivalent combination of both. Must be proficient in all Level I and II responsibilities.

Preferred Education and Experience:

Level I: 
6 months of front or back-office experience in a medical practice desired. 

Essential Functions:
Level I
  1. Answers multi-line phone system, directs and routes calls. Takes messages and schedules clinic appointments for all clinic sites. Makes phone calls to clients to confirm appointments and schedules various follow-up appointments as needed.
  2. Greets clients and visitors and provides assistance, general information and referrals to all inquiries.
  3. Maintains confidential client medical records in accordance with established procedures and standards. Enters all patient data into the PMS/EHR. 
  4. Maintains front-office flow and adheres to customer service policy standards for the clinic. Maintains cleanliness of all patient areas in the clinic.
  5. Collects fees and donations and issues receipts. Prepares daily deposits and faxes deposit forms to Administration.
  6. Processes requests for medical records and facilitates prescription refills.
Additional Responsibilities and Duties: 
  1. Prepares patient for examination or consultation and has all appropriate forms and supplies available. Sets up for procedures and assists clinician, as needed. Charts all services provided. 
  2. Provides injections to patients as directed. 
  3. Provides patients with educational information regarding all aspects of family planning, sexually transmitted infections and menopause. Provides pregnancy, HIV and Hep C testing and counseling. Charts all services provided.
  4. Cleans and sterilizes laboratory, exam rooms and instruments.
  5. Completes orders for lab tests, mammograms, etc., as directed by the clinician. Un-packs medical supplies and re-stocks exam rooms and lab daily.
  6. Provides supervisor with all supply packing slips from both clinics.
  7. Must use reasonable precautions in the performance of one's duties and adhere to all applicable safety rules and practices; and act in such a manner as to assure at all times maximum safety to one's self, fellow employees, clients and children.
  8. Performs other duties as needed.
Level II
  1. Performs all Level I Essential Functions and Responsibilities and Duties, AND a minimum of THREE of the following:
  2. Assists with training clinic volunteers, interns, and new staff.
  3. Monitors inventory and lab supplies.  
  4. Provides follow-up for all abnormal lab results. Maintains patient lab results, follow-up records, and reports.
  5. Performs HIV and Hep C testing and counseling.
  6. Assists with billing to include denials
  7. Monitors brochures and clinic handouts.
  8. Assists with colposcopy/cryotherapy. 
Level III
  1. Performs all Level I and II Essential Functions and Responsibilities and Duties, AND a minimum of THREE of the following:
  2. Updates training manuals.
  3. Reviews and edits handouts in conjunction with the Clinic Coordinator/Director.
  4. Under the direction of the clinician, assists with management of the dispensary.
  5. Monitors expired meds at both clinic sites.
Knowledge, Skills and Abilities:

Knowledge
  1. Training will be provided in the areas of reproductive anatomy/physiology, current contraceptive methods, sexually transmitted infections, medical terminology, documenting in patient records (EHS), family planning clinical procedures, medications, and client-centered counseling. Once trained in these areas, must be able to effectively apply knowledge in the work field.
  2. Must complete the clinic's "Infection Control Training" and follow all related procedures and protocols regarding potential exposure to bodily fluids or blood-borne pathogens in the workplace.
  3. Must be familiar with emergency procedures.
Skills
  1. Must possess excellent communication skills and be able to interface professionally and pleasantly with the public and coworkers.
  2. Must possess good computer skills.
Abilities
  1. Must be able to handle all patient information in a confidential manner.
  2. Must be able to relate well to all people of the community regardless of color, national origin, religion, sex, pregnancy, age, marital status, veteran status, sexual orientation, disability or socio-economic level.
  3. Must understand, uphold, and continue working toward accomplishing the mission, strategic goals and performance measures of the agency. 
  4. Must demonstrate initiative and be able to work with minimal supervision.
  5. Must work as a cooperative team member and assist co-workers as needed. 
Work Environment:
  1. Requires working indoors in temperature-controlled environment with some exposure to copier and printer chemical/fumes.
Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Physical
  1. Requires intermittent sitting, walking, standing, bending, kneeling and squatting. 
  2. Simple grasping and fine hand manipulation, as well as reaching above and below shoulder level. 
  3. Repetitive hand movement is necessary for computer input. 
  4. Must be able to lift and carry up to 30 pounds.
Travel: 
  1. Must be able to travel to various clinic sites in San Luis Obispo County. Must have dependable, insured transportation.
License & Certifications:
  1. Must possess a Medical Assistant (MA) certificate, Certified Nurse's Assistant certificate (CNA) or onsite training.
  2. Must have a valid California Driver's license (mileage to be reimbursed) and acceptable driving record. A DMV printout and proof of insurance will be required.
Additional Eligibility Qualifications:
  1. Must be at least 18 years of age by date of hire. 
  2. Must comply with the CAPSLO COVID-19 Vaccination Policy, either being fully vaccinated or have an approved exemption.
  3. Based on program, a current TB skin test/Chest X-Ray may be required. 
  4. Employment is contingent upon meeting all applicable job requirements and background requirements. A criminal history clearance is required prior to employment. 
  5. Upon hire, agency staff will check the Megan's Law (or the current sexual predator website) to ensure each staff being hired is clear for employment. Agency staff will check the website annually to ensure all program staff are cleared to work.

Compensation and Benefits Package

Medical, Dental, Vision, Flexible Spending Plan

CAPSLO offers benefits through a group medical, dental, vision, flexible spending account, life and AD&D insurance program. CAPSLO pays the full amount (100%) of the premiums to cover full-time employees, and half (50%) of the premiums to cover eligible part-time employees. Eligible employees may elect, at their own cost, to have medical, dental and vision insurance coverage for their dependents. Additionally, CAPSLO offers a Long Term Disability ("LTD") insurance program for eligible employees.

 

Retirement Savings Plan

CAPSLO offers eligible employees the opportunity to contribute a portion of their earnings to a Section 403(b) Retirement Plan. Employees are 100% vested upon enrollment into the plan. CAPSLO matches 60% of every dollar contributed up to an annual maximum of 15% of your annual salary (not to exceed IRS limits) after 6 months of employment.

 

Holidays

Twelve paid holidays during the course of the each calendar year. Employees also receive one extra workday off with pay as a "Personal Holiday."

 

Vacation/Sick Leave

CAPSLO awards 80-160 hours of vacation annually with a maximum accrual of 320 hours, depending on years of service. Paid Sick time is accrued at 8 hours per month (based on weekly hours) with a maximum accrual of 280 hours. CAPSLO also offers the opportunity to convert unused sick time to vacation and a vacation cash out for eligible employees once a year.
