Job Summary: Helps patients schedule appointments in our clinic, providing professional and courteous service. Answers phones promptly and accurately processes patient requests. Requires excellent customer service and phone skills.
Education/Experience: High school diploma or equivalent with one year of office or clerical work experience in customer service. Experience in a fast-paced environment, answering phones, and using electronic messaging. Knowledge of medical terminology preferred. Spanish fluency preferred.
Licensure, Certification, and/or Registration: Passing score on a departmental data entry test required.
Essential Functions:
- Uses computer programs to schedule, update, and cancel appointments following guidelines.
- Ensures accurate registration data, billing, and statistical information following departmental policies.
- Collaborates with co-workers to complete tasks, aiming to meet abandoned call rate targets.
- Screens calls promptly, delivers clear messages, documents scheduling information, and communicates effectively with clinical departments.
- Assists with completing forms, understands insurance documentation requirements, and obtains referring clinic documentation.
- Contributes to department success by improving customer service methods and problem-solving.
- Acts as a liaison between patients, medical staff, and outside agencies, anticipating workflow needs.
- Performs other assigned duties.
