Position Overview
Patient Scheduling Specialist (PSS) performs primary medical, wellness and behavioral health appointment scheduling and pre-registration functions in a professional, efficient and courteous manner.
Duties and Responsibilities
- Performs pre-registration duties, including obtaining and updating accurate patient demographics in Electronic Health Record (EHR), updating insurance and performing initial insurance eligibility checks.
- Maintain advanced working knowledge of insurance eligibility and requirements, communicating and educating patients as to their coverage and estimated out-of-pocket costs.
- Coordinate Good Faith Estimates for patients not using insurance.
- Educate patients on discount program application process and schedule appointments with Patient Benefits Coordinators.
- Coordinate patient portal access.
- Resolve appointment conflicts for staff and patients.
- Ensure scheduling tasks generated by providers, nurses, referral management etc. are completed in a timely manner.
- Complete appointment reminder calls.
- Add, cancel or change appointments as requested.
- Work closely with Clinical Applications Coordinator to identify improvements in provider schedule templates.
- Schedule different types of appointment in such a way as to make the most efficient use of provider time.
- Work closely with the Lead Medical Assistant to ensure Lab/Procedure schedule is accurate.
- Maintain strict confidentiality for all patients and their families in conformity with HIPAA regulations. Protect the security of all patient personal health information (PHI) to ensure that confidentiality is maintained following State and Federal regulations, SVTHW policies and procedures.
- Attend scheduled meetings and trainings to update and enhance skills related to efficient and professional scheduling parameters.
- Possess ability to work cooperatively and productively in a team environment and enjoy working within a fast paced health and wellness care setting.
- Familiarize and maintain working knowledge of Medicare, Medicaid, and private insurance.
- Serve on SVTHW committee as requested. At times, may be asked to chair or co-chair a committee.
- Perform other tasks as required by Supervisor or Revenue Cycle Manager.

- Ability to consistently communicate in a professional, polite and sensitive manner both verbally and in written form, with people of varying backgrounds and cultures.
- Reliable, consistent and on-time attendance is critical to the success of this position.
- Ability to accept and follow direction from others, as well as self-motivate when necessary.
- Ability to work professionally in a team environment.
- Proficient to advanced operational knowledge of standard office equipment, including Microsoft Office products, with experience in using and scheduling appointments in an EHR.
- Excellent customer service skills such as patience, attentiveness, use of Positive Language, ability to "read" patients, a calming presence, and ability to handle surprises are all essential to the success of this position.
- Basic understanding of anatomy preferred.
- Medical/dental terminology knowledge, preferred.
Job Requirements
- Education: High School Diploma or GED, Required.
- Experience: 1+ Years Clinical Scheduling, Required.
