One Behavioral Health is seeking an experienced Patient Care Coordinator/Patient Scheduler with excellent communication and customer service skills to work in our Mid City Los Angeles Office. All applicants must be energetic and motivated; dependable and goal driven.
The Patient Care Coordinator will collaborate will work under our Office Administrator and will collaborate with our STEP/STARS Coordinator and VA and ongoing tasks and to ensure patients are receiving treatment in a timely manner.
This is an in-person position only. A remote or hybrid option for this role is not currently available.
Qualifications:
· Experience with EHR Systems
· Experience working in clinical settings
· Experience in customer service
· Minimum 3 years of patient scheduling work within a busy medical practice
Job Duties
Clinician Support
· Respond to clinician requests for assistance if patients do not join the session
· Ensure clinicians schedules are fully booked
· Coordinate with clinicians to modify schedules as needed, I.E vacations, half days, working outside of normal hours
· Support clinicians to ensure that sessions are being held
Patient Processing and Scheduling
· Create patient charts as referrals are received
· Process new referrals obtaining additional medical records or documents as needed
· Manage 75+ patients for 6-8 clinicians. This includes scheduling/rescheduling intakes and repeat sessions as needed
· Answer incoming phone calls from patients inquiring on clinician availability
· Schedule initial evaluation, recurring sessions, and provide appointment details to referral sources, nurse case managers, or adjusters
· Maintain electronic record of PTP patients and ensure patients are seen within requisite time frame.
· Ensure patient’s charts are updated with the current insurance and adjuster information
· Ensure intake documents are completed
· Ensure patients are adhering to No Show/Late Cancellation policy
· Advise patients of potential discharge when they no show/cancel without notice
· Discharge patients who are non-compliant and provide discharge letter to patients, adjusters, applicant attorneys
· Ensure patients receive intake documents and complete the necessary forms prior to scheduling
· Assist patients as needed. I.E. issues joining zoom sessions, issues accessing intake documents, inquiries regarding treatment
Authorizations
· Ensure proper authorizations are received prior to scheduling appointments
· Submit additional requests for authorized sessions as needed
· Follow up on pending requests for authorizations with insurance companies
· Maintain electronic record of pending requests and update weekly to ensure accuracy
· Verify authorized sessions fall within authorized dates, and submit requests for extensions as need
· Verify patients are scheduled for the correct number of sessions
Referral Source Liasion
· Communicate with doctors offices, attorneys offices, adjusters as needed regarding new referrals
· Maintain a proper working relationship with referral source
· Inform referring sources of upcoming appointments for new referrals, send out reports to the PTP office, provide updates regarding status of referral
Job Location: Park La Brea area
Hours: 9am-5pm
Pay: $22-24/hour depending on experience
