Patient Relations Team Member

Patient Relations is our front office reception team for our fast paced, high energy physical therapy clinic. The position is responsible for the first impression of the clinic and the “face” of the company on the phone and at the front desk working as a team with the other Patient Relations Team members. The position includes performing many important tasks essential to the cycle of procuring physical therapy services to patients, and obtaining reimbursement for it.

We are highly service oriented and make sure all patients feel comfortable from the first experience over the phone with us to the last visit of their rehabilitation. Candidates must have a desire to help people over the phone, face to face. The duties require an individual with initiative, motivation to learn, knowledge of office and phone etiquette and ability to identify problem areas and eventually create new ideas. Training is provided, however prior experience is greatly preferred. The schedule is full time, 40 hours Monday-Friday. One Saturday morning a month (paid OT) is required once training is complete. Professional office appearance is necessary.

Responsibilities include greeting and checking patients in and out in a courteous and friendly manner, in person and on the telephone, providing exceptional customer service to all patients. Carrying out duties professionally, thoroughly and efficiently while following the company mission of 'making physical therapy comfortable, every step of the way.' Other duties include answering phones, creating patient schedules, collecting new patient info, creating electronic files and schedules for patients, obtaining insurance benefits and workers' comp authorizations, with much attention to follow through and detail. This position is responsible for collection and processing patient co-payments and ensuring accuracy in all duties. Resolving patient issues, multitasking and keeping a pleasant, even temperament at all times. Additional office duties;

• Understanding of all therapist schedules and keeping up with changes and scheduling rules
• Ability to handle confidential and sensitive information while adhering to HIPAA laws
• Knowledge of modern office methods, clerical equipment, operations and process; must learn medical terminology and abbreviations; the mechanics of private insurance benefits and workers' comp; must learn processing methods and basic understanding of billing procedures
• Ability to handle an extremely fast paced environment demonstrating the skills to navigate through a variety of tasks efficiently and effectively while sharing and handling tasks with the front office team
• Maintain knowledge of basic administrative skills including PC experience using software such as excel, word etc.
• Maintain knowledge of company EMR software and ability to use and understand it effectively
• Effective written and verbal communication skills
• Ability to communicate effectively in person, and on the telephone
• Ability to demonstrate good customer service and professionalism in demeanor and appearance
• Ability to exercise good judgment to handle calls, patient inquiries and issues appropriately
• Bachelor’s degree in business or related field is preferable.
