Job Summary –
- Coordinates the functions of the pathology office, directs pathology office staff in operations and trains new personnel.
- Works independently to ensure careful dissemination of medical records, reports and materials to patients and physicians.
- The Pathology Clinical Assistant is responsible for providing medical assistance to providers, including other off sites hospitals, updating all components of the patient’s medical history. Assists the providers offices with reports and requests regarding patients. Accessioning surgical and cytology specimens.
Qualifications
Minimum Education/Experience:a
- High School Education / Associate degree: Medical Secretary.
- Two years as a Senior Secretary/Coordinator and/or Cytotech prep tech.
Minimum skills/abilities:
- Medical terminology, general office skills in a hospital and/or Pathology environment.
- Computer and Word Processing proficiency.
- Record keeping.
- Medical Transcription.
Job Responsibilities:
- Organizes work to ensure the most productive use of time.
- Identifies task to be performed according to priority.
- Collaborates with supervisors and staff for the integrated functioning of the department, providing them with appropriate information and assistance.
- Coordinates and maintains results for legal proceedings with hospital counsel.
- Prepares weekly and monthly conferences for Pathologists.
- Prepares pathology cases for outside consultation.
- Screens telephone calls and directs to proper individuals.
- Coordinates, compiles, and records departmental data records.
- Orders department supplies.
- Functions as department receptionist for visitors and staff.
- Coordinate, records, and reports on Department statistics.
- Personally, reports all high priority and/or unusual events to the Chief of Pathologists. Reports items of importance to Chief
- Assistant to the Chief of Pathology.
- Assistant to the Pathology Supervisor.
- Process payment requests for department:
- Department bills
- Purchase order requests
- Personal reimbursements
- Collects department mail and distributes daily.
- Maintains all inter-department communications: Operating Room, Bronchoscopy Department, Radiology, Medical Education, Maintenance, Environmental Services, Copy Room, Mail Room, Food Service.
- Trains staff on new technologies and procedures including but not limited to computer functionality.
- Responsible for arranging stat courier service, maintaining records and billing charges.
- Pick up specimens and deliver to the laboratory from various locations across the hospitals as scheduled.
- Registration of patient demographic information into computer.
- Accession of specimens into Meditech
- Print surgical cassettes.
- aAccessions and processes gynecological specimens for microscopic evaluation. This includes receiving specimens/verification of patient samples and demographics, short registration, accessioning, Thin Prep processing, manual staining, manual cover slipping, and aliquoting microbiology samples.
- Accessioning both surgical and cytology specimens
- Accessions and processes non-gynecological and FNA specimens for microscopic evaluation. This includes receiving specimens/verification of patient samples and demographics, short registration if needed, accessioning, processing Thin Prep slide, and cell block sample when appropriate, manual staining and manual cover slipping.
- aUses hazardous chemicals and potentially hazardous specimens in compliance with and under the guidance of Hospital policy with regards to universal precautions, chemical hygiene, and infection control and laboratory safety.
- Print, distribute and file Pathology reports.
