Overview:Quinnipiac University invites applications for an Operations Specialist for the Office of Global Engagement. This position supports the office of the Provost with special emphasis on project management and operations for the Office of Global Engagement. The Operations Specialist plays a critical role in ensuring the success of department and university programming and its impact on students and alumni. The successful candidate will be responsible for ensuring that the office provides high-quality services with a specific focus on global engagement, student personal and professional development and faculty excellence.About Quinnipiac:Quinnipiac University is a private, coeducational institution located 90 minutes north of New York City and two hours from Boston.   • Monitor and analyze data to evaluate the effectiveness of programs and services offered at Quinnipiac University and make recommendations for improvements
  • Manage the daily operations of the Office of Global Engagement, ensuring that the office is operating efficiently. Serve as the first point of contact for students/families
  • Manage all aspects of and participate in university events and activities that promote the Office of Global Engagement
  • Support maintenance of the study abroad application software (Terra Dotta) and generate reports on participation rates, program outcomes, retention and feedback
  • Advise students/families on the various study abroad programs available and the application processes
  • Coordinate university resources and logistics for global engagement and provost office events, workshops, trainings, information sessions and site visits from/to global partners.
  • Manage overseas risk management health/medical insurance enrollment process for students/staff/faculty
  • Manage the Acadeum consortium platform support for staff and faculty
  • Use Privileged access to maintain Provost Office files, including but not limited to faculty credentials; manage other confidential files, including overseas transcripts
  • Manage and direct office operations and functions including but not limited to event and calendar scheduling, meeting organization, necessary resources, budgets and travel coordination
  • Manage the budget and its processes, including reconciling all department purchases/charges; ensure that resources are allocated effectively to support the department's operations and programs
  • Manage department contracts, including submitting compliance documents and vendor agreements through the university’s contract submission portal, obtaining authorized signature, etc
  • In collaboration with key university stakeholders, maintain the websites of the Office of Global Engagement and Provost Office
  • Other duties as assigned
Education Requirements:
  • Bachelor's degree required
Qualifications:
  • Minimum of 2-3 years of experience in project management, operations, or a related area, preferably within a higher education or global engagement context
  • Understanding of global engagement principles, including intercultural communication, diversity and inclusion, and international education is a plus
  • Proven experience in planning, coordinating, and executing complex projects, including managing budgets, timelines, and deliverables
  • Strong organizational skills with the ability to multitask, prioritize work, and manage time effectively.
  • Demonstrated analytical and problem-solving skills
  • Excellent verbal and written communication skills, including the ability to present information clearly and effectively.
  • Strong interpersonal skills with the ability to collaborate with a diverse range of stakeholders, including students, faculty, staff, and external partners.
  • Attention to detail
  • Ability to adapt to changing priorities and work in a fast-paced environment.
  • Self-motivated with the ability to take initiative and work independently, and also as part of a team
  • Proficiency with Microsoft Office
  • Strong commitment to providing high-quality services
  • Flexibility to support evening and weekend events
  • Discretion with access to confidential, budgetary and personnel information
  • Demonstrated ability to work with diverse populations and a commitment to diversity and inclusion
