**Position Overview:** We are seeking a highly organized and detail-oriented Real Estate Operations Manager to join our team. The ideal candidate will be responsible for managing all administrative aspects of our real estate operations, ensuring efficiency and smooth workflow. This role demands exceptional management skills in handling emails, calendars, contracts, and client workflows, alongside maintaining up-to-date records and overseeing financials. The Operations Manager will play a pivotal role in enhancing client satisfaction through concierge-style services and thoughtful gifting processes.
**Key Responsibilities:**
- **Email Management:** Efficiently organize and manage all incoming and outgoing emails, ensuring timely responses and follow-ups.
- **Calendar Management:** Coordinate and manage the scheduling of appointments, meetings, and events to optimize the executive's time.
- **Contract and Workflow Management:** Oversee all aspects of client contracts, ensuring critical dates and timelines are meticulously tracked and adhered to. Utilize a project management system to monitor client workflows and project progress.
- **Database Maintenance:** Maintain the company’s database with up-to-date client contact information, ensuring accuracy and accessibility.
- **Gifting Process Oversight:** Manage the company’s gifting process from selection to delivery and follow-up, enhancing client relationships through thoughtful engagement.
- **Bookkeeping:** Perform general bookkeeping duties, including tracking incoming payments and managing debts to maintain accurate financial records.
- **Client Services:** Provide concierge-style services to clients, ensuring a seamless and exceptional experience with our company.
**Qualifications:**
- Proven experience in an administrative role, preferably within a real estate environment.
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Proficient in using project management software and database systems.
- Excellent communication and interpersonal skills, capable of fostering positive relationships with clients and team members.
- Adept at financial management, including bookkeeping and financial reporting.
- High level of discretion and professionalism in handling confidential information.
