Job Title: Manager, Event Operations
Location: Remote
Reports to: Director, Event Operations
Overview
The Manager, Event Operations is responsible for providing leadership/direction to a team of Event Managers to ensure successful delivery of programs. Develop and mentor the assigned team of Event Managers to ensure their career path and growth. Operate programs as assigned.
Scope of Work
- Mentor and teach direct reports on department process compliance and customer requirements
- Provide performance feedback throughout year
- Conduct regular one-on-one meetings with direct reports
- Approval of time off requests/tracking compliance
- Participate in new-hire interview and hiring process
- Manage Programs
- Develop staffing plans to address sold project activity
- Develop comprehensive Operational Playbooks to drive team organization and optimal performance
- Drive operational excellence and growth in collaboration with Sales Team partners
- Attend program kick-off meetings (Sales Planning turnovers)
- Conduct regular file reviews with Event Manager throughout the life of the program
- Monitor timeline management
- Monitor client contract/PCN compliance (signatures)
- Monitor supplier contract compliance (As Agent For…signature)
- Monitor invoices schedules
- Review/approve budgets and proformas
- Check program Trip Specs against budget, program agenda
- Check/approve program BEO's against trip specs/budget
- Assist Event Managers with project tasks when needed
- Own programs based on staffing level needs
- Oversee completion of program wrap-up (resource files and archive process)
- Monitor hours/direct costs on a per project basis (bi-weekly)
- Ensure proformas are updated/routed by Event Manager
- Ensure positive cash flow on a per project basis
- Ensure Event Managers comply with billing turnover SLA's
- Ensure accuracy/completion of billing turnover documents
- Attend/participate in billing turnover meetings and final billing reviews
- SME for overall client team (Sales Planning/Delivery)
- Ensure compliance with negotiated savings documentation
- Ensure all project timelines include specific web registration benchmarks
- Ensure compliance with Event Spend and Savings Detail
- Participate in creation of quarterly review deck and participate in account reviews
- Perform other duties as needed
Knowledge, Skills, and Abilities
Acts as a technical or functional expert and leverages this expertise across own and related disciplines to drive business decisions.
- Bachelor Degree or equivalent experience; travel/tourism emphasis preferred
- 7+ years of extensive meeting/incentive & event management experience
- 2-3 years of experience managing teams of at least 4 people
- Previous experience in successfully delegating and leading individuals/team
- Computer proficiency in Microsoft office suite
- High level of proficiency in Microsoft Excel
- Proven ability in Project Management & Financial Aptitude.
