The Ranch Winery in Saint Helena is hiring for an Operations Data Technician to perform clerical duties supporting timekeeping, supplier payments and data management for assigned regions within the North Coast winery operations. This individual will provide excellent customer service to internal and external customers, as well as serve as an administrative and operational liaison with other functional areas and outside the company.
What You Will Do:
- Verifies data for operations hourly employees daily, in payroll system checking for correct entry, BU confirmation and attendance trends.
- Enters absences such as PTO, vacation and sick requests in ADP.
- Provides reports and payroll correction forms to Team Leads so that issues can be addressed and corrected by management in a timely manner.
- Compiles payroll and production metrics and reports.
- Maintains and creates payroll reports and other information system reports as required; checks reports for accuracy and delivers the reports to the requesting team.
- Investigates, resolves and processes payment for difficult and complex problems with accounts payable function.
- Reviews, researches and resolves past day statements and old invoices with a sense of urgency and tenacity.
- Codes, troubleshoots and routes for approvals supplier invoices through Ariba system and workflows.
- Works with suppliers on invoice reconciliation.
- Participates in establishing coding standards at each winery to match budgets.
- Establish and maintain monitoring of monthly invoicing.
- Prepares End-of-Year accrual notices.
- Maintains water use and waste water information, to include pumps hours, gallons used, gallons disposed.
- Maintains data for invoice reconciliation, sanitation and operations reports.
- Organizes and maintains department filing system, file correspondence and other records as needed.
- Responsible for opening and disbursing department mail and ordering office supplies for the operations team as needed.
What You Will Need:
- High school diploma or State-issued equivalency certificate plus 2 years of general clerical or administrative support experience reflecting increasing levels of responsibility OR Bachelor’s degree plus general administrative support experience.
- Skilled in reading, comprehending, interpreting and executing simple instructions, short correspondence and memos.
- Skilled in writing simple correspondence.
- Skilled in adding, subtracting, multiplying and dividing using whole numbers.
- Computer skill requirements include: MS Word, MS Excel and Outlook.
- Skilled in using discretion when dealing with confidential information.
- Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.
- Required to be 18 years or older. This may be in addition to other age requirements, if applicable, as listed in this job description.
What Will Set You Apart:
- High school diploma or State-issued equivalency certificate plus 4 years of general clerical or administrative support experience reflecting increasing levels of responsibility.
- Payroll software data entry and reporting experience.
- Customer service or operations experience.
Compensation:
- Sset rate listed as $25.24 - $34.09
- Actual compensation paid within the range will be determined by factors such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
