Linkup Marketing is a beauty industry consulting company that operates the Sustain Beauty Co brand (SBCo). SBCo is an importer and distributor of products for the beauty industry. We source eco-friendly brands from around the world and giving them a voice and channel in the US. This category is dramatically gaining awareness and interest. The majority of sales are online, and we ship our products from one warehouse. Sustain Beauty Co is growing and need some key functions to be managed by a new position/role so the existing team can focus on growth via marketing, partnerships & sales. Our industry is very people orientated so we need to invest more time with external stakeholders and not so consumed with the internal finance and day-to-day operations. We have an amazing team with over 50 years combined experience in serving the beauty community. It will be a great place to learn, explore, and grow as we build new brands that give back.

We are looking for someone who is organized, detail & process orientated, financially literate, a multi-tasker, and confident with technology. The right person will be inquisitive by nature, smart, fun, ambitious. Someone we know has the company’s best interests at heart. The role will have full exposure to our commercial strategy and play a key role in how we scale our growth. We plan to increase by 20%+ each year but focus on continued quality and culture.
ROLE PURPOSE/ IMPACT
Supporting all operational matters, inventory management, 3PL performance, inbound freight and import logistics and overseeing internal systems.
- Maintain & improve operational systems by updating and adhering to processes, policies, information, and organizational planning.
- Identify areas of opportunity to increase efficiency, decrease costs, and improve service.
- Responsible for data, internal systems and operational technology.
- Monitor sell out forecast and actuals to anticipate demand and optimize inventory levels.
- Work with warehouse, monitoring daily order fulfillment, and determine product handling and warehouse storage requirements.
- Organize and service subscription management, working with client experience team to improve re-order systems and payments.
- Managing stock counts, overseeing reorder levels, SKU management, processing of orders.
- Ensure all orders are processed according to policy, manage the third-party warehouse team and systems.
- Reconcile shipping and logistics charges for fulfilling orders and manage vendor relations related to fulfillment.
- Organize courier and logistics shipments, obtaining quotes and organizing all operational elements of inbound delivery of goods.
- Processing daily bank deposits from merchant accounts, enter and track expenses associated with vendors and ensure receivables are collected.
- Oversee organizational insurance policies and audits, optimizing coverage.
All customer support matters, including helping the customer service team, and all systems that support the customers:
- Organizing product training, support materials, communications, and expertise on all troubleshooting for each product line.
- Lead all CRM and support technology along with service level agreements (SLA) and adherence to pledge for performance.
- Track and report on customer satisfaction as it relates to service levels.
- Manage all procedures and pipelines related to resolution of products of all nature – shipping, lost or damage product, malfunction and warranty issues.
- Handle delivery issues, recover insurance claims, process refunds and credits for exceptions.
- Contribute to the hiring, training and scheduling for the customer service team including time off requests, reviews, and onboarding.
All internal organization, project management and communications:
- Manage all projects, ensuring all collaborators stay at pace, researching and supporting as necessary.
- Manage cross functional brand relationships, bringing them in for additional support in the North American market as required.
- Attend all vendor meetings, taking notes, and working with leadership to accomplish action items.
- Support leadership in sales, education, and key client meetings, taking notes, and organizing action items.
- Coordinate event logistics, procurement, paperwork and organization.
Daily Task examples
- Collating sell out information to help demand planning activities to ensure the right inventory levels
- Build relationship with customs broker and ensuring timely organization of pickup and delivery of goods
- Spot checking inventory levels in our third-party warehouses
- Answering slack messages to ensure support team have what they need to answer questions
- Updating the team on project progress and scheduling catch up meetings with partners
- Updating forecasts based on orders and submitting changes to plans
Technical Competencies
- At least 3 years in an Operational role or Project Management
- MS Office; including Outlook, Access, Word & Excel
- Experience with Zendesk, Slack, Asana, Woocommerce, QB
- Experience working with CRM and data integrity
- Basic knowledge of shipping, inventory or supply chain logistics
- Basic knowledge in shipping and 3PL management
- Reporting and organizing data
