JOB SUMMARY

TURN Behavioral Health Services seeks an organized and proactive Facilities Supervisor to oversee and enhance our facilities operations. This role requires a detailed-oriented individual with a strong background in fleet management, inventory control, vendor management, and administrative support. The ideal candidate will demonstrate a proactive approach to problem-solving and a dedication to maintaining high-quality standards.

RESPONSIBILITIES

Inventory Management:

Oversee the maintenance and accuracy of the inventory database.

Liaise with County representatives and program staff for inventory control, including acquisitions, transfers, salvage, and disposal.

Fleet Management:

Manage companywide fleet operations, including leasing, renewals, cancellations, and maintenance.

Maintain the fleet database and oversee vehicle registration renewals and gas credit card inquiries.

Procurement and Licensing:

Handle procurement for new and renewed business licenses.

Assist in obtaining estimates and scheduling repairs and maintenance of facilities.

Logistics Coordination:

Support programs in achieving fire inspection clearance.

Schedule, coordinate, and communicate with movers for efficient space management.

Vendor Management:

Manage relationships with vendors, ensuring work standards and accurate billing.

Conduct vendor account reconciliations and address any issues or discrepancies.

Oversee all commercial and housing utilities, including initiation, termination, and bill coding for Accounts Payable.

Financial Management:

Perform lease account auditing and ensure compliance with lease agreements, as well as prepare monthly rent schedules for Accounts Payable.

Process invoices and statements for utilities, pest control, security, and other site-associated services.

Maintain a lease database for all facilities and ensure compliance with terms.

Administrative Support:

Document and maintain standard operating procedures for department processes.

Provide exceptional customer service to both internal and external customers.

Operational Excellence:

Take ownership of the Facilities Department's success, actively seeking ways to improve efficiency.

Perform additional duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree in business administration, Facilities Management, or related field preferred.
  • Minimum of 3 years’ experience in a similar role with supervisory responsibilities.
  • Advanced computer literacy, with proficiency in Microsoft Office Suite and the capacity to quickly adapt to new technologies.
  • Experience with procurement, vendor, and lease management.
  • Demonstrated ability to support facility safety compliance.
  • Proven excellence in collaborative team engagement, with a proven track record of effective planning, prioritization, and execution of multiple, complex projects in high-pressure environments to meet stringent deadlines.
  • Exceptional analytical acumen coupled with outstanding communication and organizational skills, underpinning a methodical approach to problem-solving.
  • Proficient in delivering high performance in office settings, on-site environments, and remote workspaces, while effectively engaging with a diverse range of demographics.
  • Willingness and ability to travel up to 20% to meet business requirements.
