The team is looking for well-versed business professional with experience in both bookkeeping and business administration. You will work to adeptly manage our books and to oversee a range of office functions, including building maintenance, maintaining personnel files and HR enrollments, and coordinating non-profit compliance and insurance. This position will report to the Executive Director.

Here is more about what you’ll be doing:

  • Accurately and securely maintain organizational and personnel files
  • Facilitate onboarding for new hires and offboarding for departing employees
  • Manage employee enrollment in fringe benefits, including health care, life and disability, and 403(b) plan; Manage insurance policies and relationships with insurance vendors
  • Track and maintain company issued equipment
  • Compile monthly board meeting packets
  • Manage access to online accounts, technology and social media platforms
  • Manage procurement process of office supplies orders and operational vendors
  • Facilitate onboarding of all vendors
  • Oversee building maintenance, maintenance personnel, utilities, building access and security; maintain tenant relations
  • Maintains and documents all policies and procedures including the staff handbook and financial management policies
  • Review bi-weekly payroll and tracking time off balances
  • Support the third party accounting services firm as needed
  • Contribute to grant tracking and reporting
  • Process deposits and expense requisitions for programs and operations
  • Maintain regulatory filings to ensure they are current
  • Other duties as assigned

Key Qualifications:

  • Associates degree in general business management or accounting preferred.
  • Minimum three years’ experience in bookkeeping (deposits, payroll review, invoicing, liaison with accounting firm, etc.), office management and grants management required.
  • Experience with human resources administrative practices (onboarding, offboarding, personnel file management, benefits administration, etc.) preferred
  • Experience in vendor relationship and facilities management (insurances, licenses, facilities contractors, etc.)
  • Experience with non-profit organizations is essential
  • Excellent time management skills and ability to successfully manage multiple projects at one time.
  • Exceptional organizational skills, attention to detail, and follow-through.
  • Comfort and proficiency working with MS Office, Google Suite, and grant management software.
  • Must be a team player and willing to play flexible roles to support organizational needs; has a demonstrated ability to work well with various leaders and teams in the organization
  • Must be process driven and a self starter
  • Possesses the ability to create new processes and systems to improve accuracy and efficiency

Job Type: Part-time

Pay: $25.00 - $30.00 per hour

Expected hours: No less than 24 per week
