Position Overview: The Office Support Staff will be a key member of the administrative team, responsible for overseeing the day-to-day operations of our office. This role involves managing office processes, coordinating administrative tasks, and providing support to the counseling staff to ensure the smooth functioning of the agency.
Key Responsibilities:
- Administrative Oversight:
- Oversee and coordinate daily administrative activities to ensure efficient office operations.
- Manage schedules, appointments, and office resources to optimize workflow.
- Client Interaction:
- Greet clients, answer inquiries, and provide a welcoming atmosphere.
- Assist in scheduling client appointments and managing appointment calendars.
- Communication:
- Serve as a point of contact for internal and external communications.
- Coordinate communication between staff, clients, and external stakeholders.
- Financial Administration:
- Process invoices, track expenses, and assist with financial record-keeping.
- Collaborate with the finance team to ensure accurate financial reporting.
- Record Keeping:
- Maintain organized and up-to-date client and administrative records.
- Ensure compliance with confidentiality and regulatory requirements.
- Office Supplies and Equipment:
- Manage inventory, order office supplies, and coordinate equipment maintenance.
- Liaise with vendors to ensure timely delivery of services and supplies.
- Team Support:
- Provide administrative support to counseling staff, including scheduling, filing, and document preparation.
- Assist in the orientation and training of new administrative personnel.
- Client verification, keeping personal files, following HIPPA Laws and Rules, process documents and SOPs
Qualifications:
- Proven experience as an Office Support Staff or in a similar administrative role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in office software (Microsoft Office Suite, Google Workspace, etc.).
- Attention to detail and problem-solving skills.
- Knowledge of basic financial processes and record-keeping.
- Experience in a healthcare or mental health setting is a plus.
