Summary:
This position manages all incoming and outgoing mail and deliveries for the office and return certified stamped copies as received. Sorts and delivers incoming mail and prepares outgoing mail. Hand delivers documents to downtown locations by foot and/or by car and makes deliveries by car to outlying areas. Responsible for the physical appearance and maintenance of the firm’s premises and supports functions of the firm by performing tasks such as mail delivery, moving office materials, executing firm functions, etc.

Reports and is responsible to Office Services Supervisor and Office Administrator.
Essential Duties:
- Collects sorts and distributes interoffice mail and packages.
- Collects, sorts, examines and posts outgoing U.S. mail.
- Hand delivers mail, packages and court documents to specified locations. If delivery cannot be accomplished, determines whether to find another point of delivery, telephone the sender for additional instructions or return the item to sender.
- Files and retrieves court documents as directed.
- Performs firm bank runs.
- Assists other staff as needed.
- Responsible for set-ups and breakdowns of all conference rooms for meetings and firm sponsored events within the office.
- Fills all multifunction machines and printers with the appropriate paper each morning.
- Assists Records Clerks with moving boxes.
- Assists other staff members with projects.
- Distributes documents and legal materials to personnel.
- Handles routine maintenance of office equipment.
- Makes service calls for additional maintenance of office equipment.
- Coordinates simple facility maintenance and repairs with building management (lights out, janitorial issues, simple plumbing issues, etc.)
- Orders and maintains supplies for stock rooms.
- Cleans, organizes, and stocks all stock rooms on a daily basis and throughout the day.
- Cleans, organizes, and stocks all conference rooms on a daily basis and throughout the day.
- Coordinates pickup of recycling and paper for shredding.
- Coordinates with Office Administrator/Manager for new employee facility needs (office space, furniture, supplies, etc.).
- Performs routine maintenance tasks.
- Performs office closing procedures: Collect, post, and deliver to post office all outgoing mail; straightens all kitchens and conference rooms; close and lock Office Services, etc.
- Handles multiple projects at a time.
Education, Experience and Skills Required:
- Strong verbal, written, interpersonal and organizational skills.
- 3+ years’ experience in Office Services environment.
- Requires valid driver’s license and insurance.
- Minimum of high school diploma required.
- Ability to handle multiple projects at one time.
Physical Requirements:
- Lifts and carries between 10 and 50 pounds daily.
- Standing or walking 6.5 hours out of 7.5 hours per day.
Job Type: Full-time
Pay: $17.00 per hour
Expected hours: 37.50 per week
