Office Manager

We are seeking a Office Manager to join our team, Monday through Friday some Saturday mornings (April-June & October-November). We are searching for an individual looking for long-term employment as we continue to grow.
Successful candidates will have excellent administrative, organizational, bookkeeping and communication (written and verbal) skills, as well as work efficiently in a fast-paced, team environment. You should also be able to manage multiple projects with accuracy and have superb time management skills and meet deadlines.
PRIMARY RESPONSIBILITIES
The Office Manager will work closely with the President performing a variety of administrative and clerical tasks to support our Administrative, Sales and Operation teams. In addition, some of their detailed responsibilities may include:
- Answer phones and assist with customer requests and inquiries, return voicemails, confirm service visits with clients
- QuickBooks accounting entries
- Payroll: Process weekly payroll
- Accounts Payable: approving and paying invoices, purchase order maintenance, and credit card reconciliation
- Prepare and manage client invoices
- Enter leads for the Sales Team into our industry specific software
- Assisting in the tracking of individual job projects and client database software. Including costs, variance analysis, recording tasks and issues, and management reporting
- Accounts Receivable: applying customer payments and making collection calls
- Drive Marketing with our 3rd party marketing company & interact on our social media channels
- Support Human Resources processes
- Administration duties such as cash accounts receivables, office supply and break room orders, along with planning monthly cookouts and breakfast meetings
- Other administrative tasks and projects as assigned
QUALIFICATIONS and SKILLS
- Strong interpersonal, phone and client service skills
- Attentive to details
- High proficiency in Microsoft Word and Excel
- CRM and job project database experience preferred
- QuickBooks experience a plus
- Strong problem-solving skills
- Self-starter with ability to know how and when to ask for help
Pay: Salary $65,000 - $75,000 and will be based on your experience
WORK SCHEDULE:
- Monday – Friday, Saturdays as needed during peak seasons.
- Hours at times may vary depending on work demands.
