Job description

Office Coordinator

We are seeking a highly organized and detail-oriented Office Coordinator to join our team in the realm of home health. In this role, you will be responsible for managing administrative tasks, coordinating schedules, and facilitating communication between various stakeholders. The ideal candidate will possess excellent communication skills, proficiency in office software, and a strong ability to multitask in a dynamic environment.

**Responsibilities:**

1. **Administrative Support:** Provide comprehensive administrative support including but not limited to managing correspondence, handling phone calls, and maintaining records and databases.

2. **Schedule Coordination:** Coordinate schedules for home health professionals, clients, and other stakeholders ensuring efficient allocation of resources and timely provision of services.

3. **Client Intake and Coordination:** Assist in the intake process for new clients, collect necessary documentation, and coordinate with healthcare providers to ensure smooth transitions and continuity of care.

4. **Billing and Insurance Verification:** Support billing processes by verifying insurance information, processing claims, and resolving billing inquiries in collaboration with the finance department.

5. **Supply Management:** Manage inventory levels of office supplies and equipment, place orders as needed, and ensure timely replenishment to support operational efficiency.

6. **Data Management:** Maintain accurate and up-to-date records, including client information, employee files, and operational documents, while adhering to confidentiality and privacy regulations.

7. **Communication Facilitation:** Serve as a central point of contact for internal staff, clients, healthcare providers, and other stakeholders, ensuring effective communication and timely dissemination of information.

8. **Problem Resolution:** Address issues and concerns promptly, escalate as necessary, and work towards effective resolution to maintain high levels of client satisfaction and operational efficiency.

9. **Compliance and Regulation:** Stay informed about industry regulations, compliance requirements, and best practices to ensure adherence and mitigate risks.

10. **Team Collaboration:** Collaborate with other team members and departments to support organizational goals, participate in meetings, and contribute to process improvements and initiatives.

**Qualifications:**

- Proven experience in an administrative or office coordination role, preferably in healthcare or related field.

- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and ability to quickly learn and adapt to new technologies and software platforms.

- Excellent organizational and time management skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.

- Strong interpersonal and communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.

- Attention to detail and accuracy in data entry, record-keeping, and documentation management.

- Knowledge of healthcare billing processes, insurance verification, and compliance regulations is preferred.

- Ability to work independently with minimal supervision as well as collaboratively in a team environment.

- High degree of professionalism, integrity, and discretion in handling sensitive and confidential information.

- Flexibility to adapt to changing priorities and willingness to take on additional responsibilities as needed.

**Education:**

- High school diploma or equivalent required; additional education or certification in office administration, healthcare administration, or related field is a plus.

**Position Type:**

- Full-time/Part-time, On-site (Specify as per organizational policies and needs)

Job Type: Part-time

Pay: $15.00 - $17.00 per hour

Expected hours: 30 – 40 per week
