Minimum Requirements:
Associate’s degree and three (3) or more years of paid experience in an administrative office setting; demonstrated proficiency with Microsoft Office software. Work experience in higher education and/or experience as a legal assistant preferred.
The successful candidate must possess strong written and verbal communication skills and be able to handle high-level internal and public contact with a high degree of confidentiality; have effective organizational skills and attention to detail; and the ability to prioritize assignments and multitask as required.
Nature and Scope of Duties:
The Office Assistant, Office of the President, reports to General Counsel and performs the following duties within the Office of the President, which includes External and Government Affairs and the Office of the General Counsel:
• Greets and directs visitors to Executive Suite, assists with planning and details of events, updates and maintains office mailing lists, processes requisitions, Invoices, expense reports and travel authorizations.
• May perform research or review for construction contracts and other contracts and funding agreements under State and Federal programs, real property and equipment acquisition and leasing, and for environmental matters including compliance with SEQR, subpoenas under FERPA, FOIL requests, or other matters in the office of General Counsel, drafts correspondence as needed.
• Takes meeting minute as needed, assists with mailings, scans files as directed for electronic data storage.
- Assists with purchasing, processing invoices, ordering office supplies, and other finance
related tasks.
• Assists with maintenance of Administrative Calendar, including the calendar for the Guenther Board Room and the Presidential Innovation Hall.
• May assist with other legal matters, as assigned.
• May assist with matters pertaining to the Board of Trustees, as assigned.
• Performs other duties as required.
The salary range for this position is $45,000-$48,000.
