Job Title:Office Administrator and Preconstruction Assistant
Job Location: Southaven, MS
Work Schedule: Full-Time
PERFORMANCE EVALUATED BY: Director of Preconstruction
PURPOSE: Support the Administrative Team by guiding communication and managing the Southaven, MS office.
Essential Job Duties: *** RC will gladly provide a reasonable accommodation to assist Office Administrator / Preconstruction Assistant in performing these essential job functions so long as it does not create an undue burden.
- Welcome Visitors to RC Construction. Greet them with a positive and warm demeanor, whether in person or via telephone
- Upon visitor’s arrival, direct them to the scheduled meeting place (conference room or an office)
- Instruct visitors (phone and in-person) on how to contact RC employees
- Filter phone calls and distribute messages
- Maintain a clean and welcoming office atmosphere
- Stock the office with general as directed
- Receive and organize faxes and correspondence
- Pickup and distribute mail as instructed
- Handle sensitive information with professionalism and confidentiality
- Maintain quality service by following organizational standards
- Calling potential subcontractors/vendors
- Keeping track of subcontractor’s bid status in Pipeline
- Preparing Bid Invitations to send out
- Printing Bid Documents
- Keep Box up to date with bid documents/amendments
- Posting amendments once received
- Sorting subcontractor proposals for review
- Gathering general information on potential projects
EDUCATION AND OTHER REQUIREMENTS:
- Experienced administrative professional who is dependable and highly organized with business maturity, discretion, enthusiasm, and a positive attitude
- Technologically literate with strong computer skills including familiarity with Microsoft Outlook, Word and Excel
- At least three years of administrative experience
- Excellent organizational and record keeping skills with attention to detail
- Strong oral and written communication skills
- Must be familiar with cloud computing
- Good Internet skills, including use of e-mail programs and group messaging
- Good organizational skills and record keeping (attention to detail is critical)
- Cheerful presence and people skills
- Good oral and written communication skills – must be willing to ask questions
- Self-Starter able to work independently
- Strong time management skills
- Adaptability
- Ability to set priorities and manage workload independently
Physical Demands:
- Must be able to sit for long periods of time
- Ability to frequently repeat the same movements with arms, hands, wrist, and fingers. (Use fine manipulation, frequent to constant traditional keyboarding)
- Use fingers to grasp, move, or assemble small objects
- Ability to seldomly lift < 50lbs
- Ability to reach overhead, at or below the shoulder
- Ability to see details of objects that are less than a few feet away
- Understand the speech of another person
- Speak clearly so listeners can understand
- Ability to focus on one source of sound and ignore others
Work Environment:
- Employee is regularly working indoors, in an office setting
- Employee is regularly exposed to moderate noise levels
