Job description

Basic Function: Under general supervision, the Program Assistant provides office support and provides direct support to partial caseload of licensed childcare providers enrolled in the USDA Childcare Food Program for Family Day Care Homes.
Minimum Qualifications: Education, training, and/or experience that demonstrate possession of the knowledge, skills and abilities listed. High school diploma; bilingual Spanish or Arabic a plus; training and/or experience that demonstrate possession of the knowledge, skills and abilities listed above; must be able to adhere to company and regulatory procedures; experience as a licensed child care provider preferred; knowledge of USDA Child Care Food Program guidelines a plus; proficient in Microsoft Office, to include Word, Excel, Power Point and Outlook preferred; must be able to prioritize, pay attention to detail in examining claims, processing changes accurately and according to established procedures; calculate mathematical equations and formulas accurately; ability to read and interpret documents such as rules and regulations, operating, safety and procedure manuals; ability to maintain composure, work well under pressure and meet strict deadlines with minimum supervision.
Understand and respect diversity in the workplace/community, showing consideration by communicating tactfully and sensitively at all times; maintain professional relationships with childcare providers avoiding conflicts of interest, and reporting when a relationship is established in order to take appropriate steps for removing what could become a conflict of interest.
Must possess excellent interpersonal skills; ability to build strong and positive relationships/partnerships, establish rapport and credibility at all levels; maintain confidentiality and sensitive information private; ability to work effectively as part of a team to implement overall program policies.
Certification of good DMV record; valid California driver's license, auto registration and insurance.
Summary of Responsibilities:
1. Answer and screen incoming calls for main Nutrition Department phone line, respond to general questions and redirect calls to appropriate staff as needed.
2. Assist providers by explaining compliance and reimbursement services available in detail, according to CDA's policies and procedures and the USDA Childcare Food Program guidelines.
3. Assist conduct one on one orientation for childcare providers ensuring nutrition standards & guidelines are explained and childcare activities are provided as a resource, promoting quality childcare.
4. Assist schedule announced or unannounced monitoring visits, driving to and from childcare provider homes, according to established policies and procedures.
5. Provide record keeping of documents as an operation of the Childcare Food Program for Family Childcare Homes by maintaining proper procedures for filing and retrieving information, documents, or data, including purging files for retention.
6. Learn and keep current on Childcare Food Program requirements and basic nutrition concepts.
7. Prepare provider enrollment packets, copy and mail CCFP information to providers.
8. Assist review claims for Providers in caseload and participate in the processing of provider's claims monthly, as needed.
9. Report any violations or suspicious fraud to the Program Manager or Assistant Manager.
10. Participates in on-site and off-site learning opportunities such as workshops, conferences, staff meetings and trainings.
11. Process mail, which includes picking up, sorting, prioritizing, and routing incoming mail to the appropriate person, preparing outgoing mail and dropping off.
12. Track and maintain stock of office supplies.
13. Work cooperatively with other staff members and help promote a positive atmosphere; interpreting and adapting Agency policies and procedures to the needs of the Nutrition Program.
14. Assist in the training and mentoring of other staff members as needed.
15. Contribute to team effectiveness and success by completing various other assignments, projects, audits, and reports, as needed.
Work Schedule: Full-time, 40 hours per week; Monday-Friday 8:30 AM to 5:00 PM
Office/Remote (hybrid) options available after training has been completed.
Salary: $18.02 per hour; Non-Exempt
