Job description

BAYSIDE PURPOSE: Know God / Find Family / Live in Freedom / Discover Purpose

MINISTRY PURPOSE: To help reach people through short term missions

BAYSIDE BIG 5: Teachable, Called, Hungry, Others Focused, Positive Attitude

POSITION STATUS: Non-Exempt

WORK SCHEDULE: Full-time hourly 40 hours

THIS POSITION SERVES: Ministry Resourcing

REPORTS TO: Executive Director of Missions & Outreach

PRIMARY RESPONSIBILITIES:
  • Applications & Deposits
    • Review each application and collect deposits; follow up when needed.
    • Transfer all approved application information onto other spreadsheets.
  • Training
    • Host a yearly training for all leaders.Host a yearly training for all youth students and parents
  • Logistics for Trips
    • Collect all the members necessary documents and IDs; follow up when needed.
    • Follow up with team members to make sure all payments are made and before the trip leaves.
    • Book airfare for the teams.
    • Book transportation to and from the airport for the teams.
    • Purchase visas for the teams.
    • Purchase medical insurance for each member.
    • Run background checks when needed.
    • Review covid restrictions and communicate them to the teams.
    • Coordinate with missions partners for all logistical information (airport pick up, accommodation, ground cost, fun day, itinerary, etc)
    • Interface with Bayside finance to ensure payments, wires, and advances are done in a timely manner to vendors and partners; request on-trip cash for team leader.
    • Assemble a leader binder for all the trip information (flight itinerary, transportation, itinerary, roster, IDs, paperwork, covid information, cash ledger, contact information, key reminders, insurance, etc.)
    • Review the leader binder with each leader prior to departure.
    • Send a final email to the team with all necessary trip information.
    • Distribute missions t-shirts to each member; order, restock, and fold missions shirts as needed.
    • Be available while teams are on the ground as needed.
  • Post Trip
    • Send out surveys to members and Leaders and review them.
    • Remind the leaders to have a post-trip meeting with members.
  • Plan for next year
    • Plan next year’s trip in advance.
    • Coordinate with partners for the dates, ground costs, ministry preparation items needed, transportation, total number of members, etc.
    • Create Budgets for each trip.
    • Assign a minimum of two leaders to each trip.
    • Coordinate with leaders regarding four Team Training dates/times/locations.
    • Set up all the trips on Go Method. Determine required documents for each trip and input the trip details into GoMethod and upload documents, coordinate with team leaders meeting times/dates, set up payments for cost of trip, etc.
    • Coordinate with the Creative Department and provide trip information such as location, cost, leader’s name to design handouts.
    • Coordinate and communicate with the missions coordinator at each campus to provide the necessary material and flyers needed for the three missions weekend push.
  • Communication
    • Respond to all questions and inquiries from mission trip members and partners.
    • Respond to all questions and inquiries from mission partners.
    • Respond to all questions and inquiries from mission trip leaders.
    • Resolve any technical issues with Go Method.
  • Spreadsheets
    • Update numerous spreadsheets with information (application/deposits, leader pipeline, training attendance, team roster, budgets, trip planning documents, managing funds, etc)
  • Manage
    • Manage and train other 10-99 employees working in missions.
SECONDARY RESPONSIBILITIES
  • Submit all expenses to finance in a timely manner.
  • Attend all team meetings and all staff meetings.
  • Work on all Black Out Dates.
  • Book travel for executive director of missions.
  • Disaster Relief efforts as needed.

  1. Ability to effectively plan, organize and manage all assigned projects or responsibilities in a timely manner with regard to missions trips and events
  2. Ability to be flexible and multitask as various systems arise.
  3. Respond to all inquiries in a timely manner with clear and effective communication.
