Job Description:
Reporting to the Nursing Supervisor, the Mental Health and Medical Coordinator is responsible for assisting in the scheduling of appointments while performing tasks of obtaining documentation and scanning, uploading, and filing to maintain the efficiency in the department. The successful candidate will act as a liaison internally and with external organizations.
Essential Job Duties
• Processes MOPs and other routine intranet daily checks and forwards to appropriate parties
• Oversee After Hours-Medical Consent Notifications and ensure appropriate action is taken by appropriate parties
• New Admissions- After receiving "New-intake notification" alert from Intake Department, assigns new intakes to the appropriate nurse.
• Assembles new intake paperwork and charts, upon case assignment
• Requests both medical and Mental Health documentation from outside providers
• Manages, completes and oversees internal and external requests for information
• Manages faxes, emails, and notifies/ distributes to appropriate persons
• Manage the reception desk by answering phone calls and transferring such calls to the appropriate staff member
• Collaborate with team to organize the weekly Medical/ Dental clinic schedule dates, to ensure all children fall within compliance of ACS Mandated Appointments, OLP assessments and other specialty follow-ups
• Coordinate and schedules psychiatric and psychological evaluations for children and youth in care
• Manage tracking for Full Medical Consent Packets, including: CFTSS consents, psychiatric and psychological consents
• Confirms all Medical and Mental Health client appointments with FP and LF CW & HH staff two days prior to appointment
• Reviews weekly Nurse Caseloads Report and coordinates with Nursing Supervisor and nurses on caseload accuracy and changes needed
• Monitors and Maintains office/clinical supplies to aide in the efficiency of department
• Scan all health documents in the electronic medical chart and file paper copy in the appropriate chart, while assisting in the auditing of the medical charts to ensure compliance with ACS guidelines
• Processes Permanently Discharged (PD) children's Medical charts and coordinates with Record Department to manage, track and confirm the transportation and receipt of the PD records.
• Coordinate with IT/IS Department, acting as a liaison for the department when problems arise
• Oversee and handle the distribution of toxicology vouchers and results
• Record and distribute minutes for monthly medical depart. team meetings to ensure open communication while providing information on departmental and organizational updates and changes
• Nursing Supervisor will assign additional duties as needed

Minimum Requirements
• Associate's Degree required; Bachelor's Degree preferred
• Prior experience in medical/Mental Health environment preferred
• Prior experience working in a medical office and/or office setting
• Prior experience with Managed Care Organizations and billing a plus
• Bilingual capability -English/Spanish a plus
