Purpose
The Membership Associate is a hybrid position that will assist both the Membership and Visitor Services departments in administering the Blanton’s membership program and delivering exceptional customer service to museum members and visitors. This is a position of significant responsibility and trust that will require accurate data entry and payment processing in a standard office setting, as well as working at the museum’s ticketing desk for at least two days per week. Job duties include gift and data entry, gift reconciliation, benefit fulfillment, coordinating on-site membership sales initiatives, and selling memberships and admission tickets on-site. This position reports to the Director of Membership and will work with oversight from both the Manager of Visitor and Volunteer Services and the Membership Coordinator.

Responsibilities
  • Manage and maintain timely processing of membership and annual fund gifts in museum’s Customer Relationship Management (CRM) database and the University’s database. Responsible for all aspects of gift processing, from notification/arrival to the final deposit.
  • Reconcile and verify membership and annual fund gifts on a regular basis with UT Development and the Blanton Business Office, including analyzing weekly reports and correcting any errors.
  • Prepare gift correspondence and benefit fulfillment for members, including composing on-brand acknowledgement letters with appropriate benefits.
  • Provide high-level customer service to members, donors, and patrons in-person and via telephone and e-mail.
  • Work at the Check-In Desk in a front-line visitor services position to sell admission tickets and memberships on-site, including generating proactive sales efforts, providing basic museum information, and assisting in resolution of visitor and member complaints.
  • Maintain accountability in both daily sales and gift processing to securely process and reconcile cash, check, and credit card transactions in a fast-paced environment without compromising accuracy or credibility.
  • Coordinate the training of frontline staff on current membership offers, and maintain an open dialogue between the frontline staff and the membership office.
  • Maintenance of records and procedures, including membership procedure manuals for gift processing and on-site sales, CRM data entry, gift entry, and biographical updates.
  • Perform other related duties as requested to support departmental priorities, logistics, and special projects.
Required Qualifications
  • Diploma (High School) or GED.
  • Two years of experience with databases, data entry, and business-related money handling.
  • High degree of proficiency in databases and computer applications, including Excel, Adobe Acrobat, PowerPoint, Outlook, and Word.
  • One year of prior customer service or membership experience.
  • Goal and detail-oriented with strong problem-solving skills and high standards for excellence and accountability.
  • Excellent interpersonal communication and customer service skills.
  • Experience encountering, recognizing, and respecting confidential information.
  • Excellent organizational skills, timeliness, and attention to detail.
  • Ability to multi-task in a fast-paced office environment.
  • Ability to work effectively with a team.
  • Professional demeanor.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
  • Bachelor’s Degree.
  • More than two years of experience working with databases, data entry, and business-related money handling.
  • Experience with Blackbaud Altru CRM.
  • Experience with UT’s VIP database.
  • Prior museum or cultural institution experience.
  • More than one year of prior customer service or membership experience.
  • General interest and knowledge of the arts, Austin, and UT.
  • Bilingual Spanish.
Salary Range
$40,000
Working Conditions
  • Requires working with and interacting with the public.
  • May require working evenings and weekends for membership and museum-wide programs.
  • May have periods of extensive movement through the museum campus and UT campus.
  • May work around standard office conditions.
