We're looking for an energetic, self-motivated individual that delivers an exceptional customer service experience to add to our patient scheduling team.
Our ideal candidate is someone with a passion for helping others, well-versed in EMR systems and HIPAA requirements, comfortable on the phones, and can multi-task and communicate with varied departments throughout the company. This individual must be able to coordinate the needs of multiple parties to continually improve scheduling and reporting efficiency in their department.
Supervisory Responsibilities:
Position does not have direct reports, but will work closely with team members in providing patient care.
Duties/Responsibilities:
- Manage and schedule incoming patient leads and referrals within our leads management CRM + EMR software ensuring complete and accurate registration, including patient demographic and current insurance information
- Work closely with Field Marketing Team and clinical staff to get patient referrals scheduled
- Obtain proper patient documentation and demographics information
- Sending first consult notes to referring providers
- Obtains appropriate documentation and maintains ongoing tracking on referrals to promote team awareness and ensure patient safety to include:
- Completing weekly new patient referral reports with accuracy and completeness
- Maintaining the referrals & new patient CRM
- Assembles information concerning patient's clinical background and referral needs
- Per referral guidelines, provides appropriate clinical information to specialist
- Enters necessary medical information such as history, diagnosis and prognosis into patients chart
- Reviews details and expectations about the referral with patients
- Assists patients in problem solving potential issues related to the health care system, financial or social barriers (e.g., request interpreters as appropriate, transportation services or prescription assistance)
- Ensures that referrals are addressed in a timely manner
- Monitors and completes all new patient referral faxes
- Ensures that patient's chart is up to date with information on specialist consults, hospitalizations, ER visits and community organization related to their health
- Addresses all new patients scheduling needs in a timely manner
Education and Experience:
- Knowledge of HIPAA restrictions and policy
- Scheduling patients in electronic medical records (EMR) systems
Physical Requirements:
- Requires the effective use of office equipment including, but not limited to, computers, phones, and printers
- Ability to sit at computer terminal for extended periods of time
- Ability to communicate via telephone
- Ability to communicate in an active office environment
- Must be able to lift to 15 pounds at times
