JOB SUMMARY FOR MEDICAL RECORDS/STAFFING SCHEDULING COORDINATOR
We are currently seeking a Medical Records/Staffing Scheduling Coordinator. This position will be responsible for organizing, planning, and managing the medical records department and ordering all supplies for the facility's daily operation in accordance with established policies and procedures.
Primary Duties and Responsibilities for MEDICAL RECORDS/STAFFING SCHEDULING COORDINATOR:
- Retrieves resident records (manually/electronically). Delivers as necessary.
- Files information such as nursing notes, assessments, progress notes, lab reports, x-ray results, correspondence, etc., manually or electronically into resident charts.
- Collects, assembles, checks, and files resident charts.
- Ensures incomplete records/charts are returned to the appropriate department or personnel for corrections.
- Ensures resident records are properly completed, assembled, coded, etc., before filing.
- Extracts information from records for insurance companies, Medicare, Medicaid, VA, etc., per established policies and procedures and privacy rules.
- Picks up and delivers medical records to designated areas as necessary.
- Answers telephone calls regarding inquiries about medical records. Prepares written correspondence as necessary.
- Files active and inactive records as per established policies
- Completes portion of death certificates as indicated.
- Maintains logs of specific items as per established policies and procedures.
- Maintains requests for medical records forms and completes as necessary.
- Receive and follow instructions from your supervisor as outlined in our established policies and procedures.
- Create staffing schedules for the nursing department
- Manage staffing schedules for the nursing department
- Manage staffing call-offs for the nursing department, including finding a replacement for the shift
- Document, track, and communicate staff attendance
- Other related duties as may become necessary or as directed by your supervisor.
- Agree not to disclose the assigned user ID code and password for accessing resident/facility information and promptly report suspected or known violations of such disclosure to the Administrator.
- Agree not to disclose resident’s protected health information and promptly report suspected or known violations of such disclosure to the Administrator.
- Report any known or suspected unauthorized attempt to access the facility’s information system.
REQUIREMENTS FOR THE MEDICAL RECORDS/STAFFING SCHEDULING COORDINATOR:
- High school diploma or equivalent
- Minimum of 2 years’ administrative experience preferred.
- Working knowledge of medical terminology, anatomy and physiology, coding, and other aspects of health information preferred but not required.
- Prior staffing scheduling experience preferred
