Essential Functions
Maintain and process MEDICAL RECORDS. Provide help to staff with electronic MEDICAL RECORDS issues. Provide designated assistance to Chief Operations Officer, Education Coordinator, and Compliance Officer.

Education and Experience
High school diploma or general equivalency diploma (GED) required
One year work-related experience and/or training preferred
Classroom training in computer software (Word, Excel, and other office software preferred, or must be able to demonstrate proficiency in pre-employment testing)
Certificates, Licenses, Registrations, Vaccines
Valid COVID-19 vaccine required
Influenza vaccine during influenza season required
Valid drivers license

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Position Responsibilities (not all-inclusive)
Medical Records and other duties
Scan and index (electronically file) patient information.
Maintain confidentiality of patient MEDICAL RECORDS at all times.
Process MEDICAL RECORDS request immediately. Organizes the copied record in the order requested, chronologically and give to Compliance Officer for review. Scan the complete medical record to the scanned medical record folder in the medical record drive. Scan/index (electronically file) the requested letter and give original to Compliance Officer. Fax/email records to the requestor to include invoice.
Process death certificates to include scanning a copy to AllDocs if copy is available. Keep the excel spreadsheet updated on those processed. If an amendment is done, scan that letter to AllDocs and record on the excel spreadsheet next to the name of the patient.
Complete and fax Georgia statistic forms monthly on cancer patients.
Order ADT systems as requested.
Process denial letters and keep excel spreadsheet on those processed.
Answer roll over calls and take/send messages as needed.
Cross train to medical supplies to include fulfilling supply requests, inputting new patients in supply ordering software, and stocking when the Supply Clerk is off.
Cross train to Clinical Operations Manager of doing the staff minutes, logging deaths/discharges on the equipment log and processing bills.
Compliance, Quality & Safety, & Education
Proficiency in the employee education database in order to record education courses into database and print employee education certificates as needed.
Download education records from scanner to Alabama Board of Nursing and enter manual entries as required.
Assist with new hire paperwork to include making new employee folders & binders for new employees, making welcome bags, setting up training room, and entering orientation credits into education database.
Set up for presentations in the community and/or training room. If a new speaker, complete the biography.
Make copies of training and education materials to include study guides for certification exam.
Keep education in-service on excel spreadsheet and forward to Education Coordinator quarterly.
Make and maintain information folders for students, residents, and interns.
Greet students, get them to their scheduled assigned areas and have student to sign confidentiality agreement if needed. If school emails signed confidentiality agreement forms prior to the start of clinical, ensure that each student listed to attend a clinical day, has completed a confidentiality statement. Once confidentiality agreement form is obtained, scan to system and save under the school, listing the semester and year.
Assist Education Coordinator with applications for Alabama, Georgia, or ENLC (compact) nursing licensure.
Maintain or update monthly education calendar.
Type and hang 3 months of CPR class signup sheet.
Send out Tiger text reminders of in-services/CPR classes/roster on Education Board. Send TigerText reminders one day prior to in-service classes.
Assist with setting up and taking down stations for annual skills check. Will need to arrive outside of normal business hours to assist with annual skills check.
Assist with setting up CPR and then assist with cleaning equipment and returning it to the education closet after the class is over.
Other duties as assigned.
Position Requirements (not all-inclusive)
Take all reasonable precautions to maintain privacy and non-disclosure of any confidential information about patients, staff members, and the general operations of Columbus Hospice.
Accurately enter information into payroll timekeeping system in order to document work hours.
Participate in performance improvement activities.
Participate in Joint Commission accreditation processes of Columbus Hospice and surveys by regulatory and other accrediting agencies.
Participate in staff development (15 hours of CEUs of which 12 must be Hospice related) per policy.
Attend mandatory in-service education and staff meetings.
Support and adhere to Columbus Hospice policies, procedures, and standards of conduct.
Represent the company in a positive and professional manner at all times with others, e.g., co-workers, management, vendors, and customers.
Complete all job responsibilities in a thorough and complete manner, utilizing good judgment in all aspects of the job.
When unsure of a directed task or any part of job responsibilities, proactively seek the assistance of immediate supervisor.
Ensure job responsibilities are met, including attendance requirements and prompt arrival at work.
Assist with special projects as requested.
All other job duties as may be assigned.
