Description:
The Medical Insurance Assistant Manager supervises staff that perform various receivables and claims collection activities. The position will evaluate necessary actions to correctly post payments and refund claims/billing. It oversees and assists Medical Insurance Specialists in verifying patient payment sources and manages other patient account inquiries. It is responsible for monitoring safeguards that protect patient medical information via the Health Insurance Portability and Accountability Act (HIPAA).Reviews and advises regarding functions of the University Financial System's (BANNER) compliance with all University of Illinois educational system financial requirements for reporting in regards to receivables and claims processing. The position works under administrative direction from the Director of Fiscal Affairs.
Duties & Responsibilities
The Medical Insurance Assistant Manager oversees staff who review claimsand personal data for accuracy obtained from outside entities and via patientcommunication. Directs and advises positions that communicate with physicians,patients, insurance companies and governmental representatives to verify thestatus of claims.Manages and reviews and posts payments posting into EPIC (EHR) from insurance, Medicaid,Medicare, and patients. Develops a thorough understanding of the types oftransactions that occur within a patient's financial record. Approves MSPrefund documents for accuracy and provides final approval.
Posts reconciliation entries communicated from the accounting department located in Urbana on a monthly basis. Prepares monthly reports created from data acquired from the EHR. Posts monthly journal entries in BANNER to record charges, payments, and adjustments. Assists in the annual budget process for the Medical Billing department and communicates with the Director of Fiscal Affairs regarding departmental revenue and expenses.Prepares other reports as requested.
Evaluates, develops, implements, revises and communicates procedure manuals detailing job duties, policies, procedures and processes performed by accounting officers and Medical Insurance specialists. Addresses compliance issues as needed.Audits patient accounts for compliance with payment, write-off, and charity assistance guidelines. Reconciles discrepancies and prepares correcting entry documentation. Performs audits to verify appropriate documentation is being saved for transaction verification. Approves accounts being sent to collections.
Develops and monitors productivity reports generated from the electronic medical records system, EHR (Epic) to ensure staff are meeting productivity requirements. Develop, communicate and monitor that staff are actively following operation policies and procedures. Assists customer service personnel with patient inquiries and applies sound judgement to resolve account disputes.
Supervision of accounts receivable staff including Accounting Officers, Medical Insurance Specialists, and all cash activities performed by Medical Billing staff. Participates in interviews for open positions, participates in selection, supervises, trains staff, and performs probationary reviews and annual staff evaluations. Participates in staff meetings and in special projects as assigned.
Performs other related duties and research. Perform duties of the lower level of the series. Serves as a resource, liaison and subject expert on payment posting and refunds providing information and answering inquiries.
Qualifications:
Minimum Qualifications
  1. Any one or combination totaling five (5) years (60 months), from the categories below:
    1. College coursework in a health-related field, business administration/management, human resource management, or closely related fields, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Progressively more responsible work experience in a healthcare environment working with medical claims, denials, rejections, referrals, and prior authorizations.
