Medical Assistant- Eating Disorders Medical Clinic

- (3283215)

The clinical/MA component will consist of 3-4 x 4-hour clinic sessions per week, with the remaining time available for the administrative tasks (i.e. scheduling, processing referrals, etc.). Mondays, Wednesdays and Thursdays the MA will work on-site at MGH Back Bay. Tuesdays and Fridays the MA can work remotely (or on-site), as long as tasks are completed in a timely manner.

The MGH Eating Disorder Medical Clinic is a new clinic that will provide specialized outpatient medical care for individuals with Eating Disorders of all ages and genders. Individuals with Eating Disorders often present with complex medical and psycho-social problems. The COVID-19 pandemic has amplified the need for comprehensive eating disorder care, causing an increase in patients and families seeking help for disordered eating.


Reporting to the Nurse manager, (or in absence of, the Practice Manager) the Medical Assistant (MA) is an integral member the patient care team. They work alongside providers and other team members to provide superior care and service to Eating Disorder patients. The MA is expected to have a global view of the day and patient flow. The MA supports the patient, provider, and other care team members to provide patients with a comprehensive and effective visit and completes the tasks of the day as efficiently as possible. The MA will evaluate workflows and collaborate with other team members to innovate and create change to provide the most positive patient experience possible and improve the safety and quality of patient care. The Senior Certified Medical Assistant has passed a national certifying exam.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
General Responsibilities

    • Will perform a variety of tasks within the MA scope of practice, which may include but is not limited to:
    • Greet patients in a professional, business-like manner. Maintaining confidentiality and privacy, which is consistent with HIPAA guidelines.
    • Perform all check-in and -out functions, as outlined by the MGH/MGPO Front Desk Standards of Operations; prints Pre-Visit forms and labels for all patients to review and update; co-pay collection and reconciliation of cash management via US Bank pre-visit preparation,
    • Manage patient flow and rooming including doing phlebotomy including proper identification and handling of specimens, doing EKG’s, measuring patient vital signs (weight, height, blood pressure, pulse, respirations, and temperature),
    • Assist with the patient visit, and post-visit duties, inform providers of schedule changes that impact patient flow, report test results as directed by the provider, obtaining histories, arranging referral and diagnostic testing appointments, and performing other procedures as determined relevant to the individual patient.
    • Answers telephone, triages calls, takes accurate and detailed messages using professional and courteous customer service skills.
    • Provides support and information to providers to problem solve and manage complex administrative patient issues. Can communicate in writing and verbally with their Team Care group via PG InBaskets and Outlook E-mail.
    • Understands all HMO, Managed Care, and other Third-Party Insurers. Functions as a resource for patients around managed care plans, insurance, and referral issues, with an ability to enter referral request shells in current system EPIC.
    • Understands financial services and self-pay resources and provides patients with information as needed.
    • Schedule, re-schedule and cancel patient office appointments both internal and external to the practice. Review key registration elements of demographic information to verify accuracy with patients during time of scheduling. Ensures proper screening for in-person visits. And review of demographic information to verify correct. Creates referral shells for specialty visits and mental health visits, decrements visits, and tracks referrals as needed. Coordinates the scheduling of diagnostic testing.
    • Prepare prior authorizations, set up approval process for medications refills as appropriate, monitor clinical messaging, support providers with completion of patient correspondence, update the medical record with patient information under the guidance of the provider.
    • Depending on organization of roles within the practice, may share responsibility with other Medical Assistants for the quality, safety and laboratory check systems in the clinical environment including Quality Assurance for Point of Care testing.
    • Depending on organization of roles within the practice, may share responsibility for appropriate monitoring and stocking of supplies for the clinical and administrative needs of the practice.
    • Use Patient Gateway to schedule, re-schedule and cancel patient office appointments. Uses Patient Gateway to triage messages and compose accurate and detailed messages using professional and courteous customer service techniques.
    • Send out confirmation/reminder letters in advance of appointments and make reminder calls to patients 48 hours ahead of their scheduled appointments. Works on Reports and Work Queues to connect with patients to schedule preventative visits. Utilizes the Televox system. Manages the Bump List Binder in an organized manner and keeps it updated to notify patients of cancelled appointments and assist in the rescheduling of the cancelled appointments.
    • Receive, sort, and deliver mail to the appropriate staff.
    • Copy, scan and fax all materials in accordance with the practice requirements. Compliant in certified mail.
    • Take inventory of supplies needed. Receive, reconcile, and place supplies away appropriately. Maintain stocking of administrative and clinical supplies.
    • Assist with training and orientation of new staff, where applicable.
    • Attend staff meetings as scheduled and staff training sessions when needed.
    • Work on special projects as directed.

  • Administers vaccines after meeting standards of Immunization competency
  • Responsible for maintaining national certification as outlined by the Medical Assistant’s certifying organization.
  • Phlebotomy experience
LICENSES, CERTIFICATIONS, and/or REGISTRATIONS (if applicable):
  • Current Basic CPR certification required
  • MA certification, required
EDUCATION:
  • Minimum of high school diploma, GED or equivalent
  • Graduate of an MGH approved Medical Assistant program required
EXPERIENCE:
  • 6-12 months Medical Assistant experience preferred.
WORKING CONDITIONS:
  • Normal office conditions. Will be provided with computer and other equipment/supplies necessary to perform outlined duties. Minimal travel required to attend off-campus meetings and/or conferences.
