Marketing, Media, and Sponsorship Assistant

RESPONSIBILITIES:

Provide overall assistance to the Oregon State Fair and Exposition Centers Marketing Manager, Sponsorship, and Media Team by completing a multitude of marketing, sponsorship, and Media tasks pre-fair, during the fair, and post-fair as well as for the 4th of July Spectacular. This position will start as a part-time position and become full-time from mid-July through mid-September. This position involves indoor office work as well as outside on-grounds pre and post-event work.

Job duties are as follows:

COORDINATION:

· Assist the Marketing Manager and Marketing Team with updating, ordering, and dispersal of the Oregon State Fair Mini-Manual and Daily Schedules.

· Organizing, ordering, and placement of all Fair banners and signage pre and post-fair working closely with Operations Staff to direct placement.

· Working with the Sponsorship team to ensure banners/logos are approved before print or placement.

· Review and preview the Oregon State Fair website for any necessary changes, edits, and/or additions.

· Assist the Marketing Manager with soliciting trade partners for various needs.

· Attend weekly Fair Planning meetings.

· Work with the Media Buyer to coordinate on-site logistics for radio stations and other Media outlets. Assist with Media walk-throughs of the fairgrounds if the Marketing and Media team is unavailable.

· Implement and work with the Media team to obtain procedures for credentials and parking passes for Media. Review and adhere to the Media procedures with front desk staff, Marketing team, and anyone serving as Media point person.

· As needed, schedule talent, Sunny the Mascot, and OSF Media Spokesperson for TV broadcasts and coordinate with the PR Team. This will include early morning and late-night meetings.

· Coordinate and assist with the Mascot’s (Sunny) daily schedule with the Marketing Manager.

· Work closely with the Marketing Manager and sponsorship team to assist in fulfilling all sponsorship deliverables, benefits, and on-site needs, including but not limited to hanging banners, placing signs, disbursing tickets, and assisting with move-in/out.

· Assist the Marketing Manager with the coordination and set up of on-site Company Picnics.

· Miscellaneous duties as instructed by the CEO, Marketing Manager, and Marketing and Media team.

· Prepare a post-fair report/summary.

COMMUNICATION:

· Communicate with all Media partners the procedures for their on-site arrival.

· Open, clear, and concise communications with the CEO, Marketing Manager, OSF spokesperson, and Marketing, Sponsorship and Media team.

· Availability to be on call for PR Spokesperson questions and requests as needed.

· The ability to create and submit work orders to the Operations Staff.

· Keep the Marketing, Media, and Sponsorship teams along with the Expo Sales Manager apprised of any updates, issues, or, concerns.

· In-person, email, phone, and radio communications.

SCHEDULING:

· Flexible long hours with early mornings and late nights.

· This position is a temporary position starting as part-time and becomes a full-time position.

· Weekends and Holidays will be required.

SPECIAL SKILLS/TRAINING:

· Three years of successful study or experience in Marketing, Business, and PR

· Excellent communication and customer service skills.

· Understanding of the Fairgrounds, its buildings, and layout.

· Must be able to drive a golf cart (class provided to become a licensed operator)

· Extremely organized and detail-oriented

· Microsoft Word and Excel, Basecamp (helpful), and Social Media skills.

· Able to maintain cooperative working relations with various groups and individuals including State Fair department heads, creative team members, sponsors, and business and community organizations.

PHYSICAL REQUIREMENTS

· Prolonged standing, walking, and repetitive bending.

· Ability to lift/move up to 50 lbs.

WORKING CONDITIONS

· Outdoor work, which will include working in heat, rain, and wind.

The Marketing Assistant shall perform duties in support of the 2024 4th of July Spectacular and the Oregon State Fair (OSF) marketing department, which runs Friday, August 23 through Monday, September 2. The Assistant will also need to be available pre-fair and post-fair dates as outlined under the Service Timeline.

Service Timeline:

2024 Oregon State Fair

Pre-fair: June 1st through August 22

Fair: August 23 through September 2

Post-fair: September 2 through September 30 (or as needed)
