Department

 

Our dynamic Development Department is responsible for raising over $600 million annually to support the mission of the organization. The Integrated Channel Marketing team leads innovative direct response marketing programs in collaboration with the Audience teams to drive donor-centric integrated marketing efforts, including prospect, renewal, and cultivation fundraising campaigns.

Doctors Without Borders/Médecins Sans Frontières (MSF) is seeking a full-time Marketing Project Manager for Direct Mail to help manage planning and execution of Direct Mail campaigns for MSF-USA. Reporting to the Senior Marketing Manager for Direct Mail, you liaise with our lead direct marketing agency of record as well as our production broker and list broker. In addition, you manage the vendors responsible for special touch mailings for our high-value donors – such as Midlevel or Major Donors - and support the day-to-day management of our complex acknowledgments program.

 

On any given day, you might:

 

• Discuss and recommend cross-channel integration opportunities for telemarketing and digital with audience and channel managers.

• Commission interviews with aid workers to fit our donor-centric content strategy.

• Manage a fast-moving emergency appeal campaign following a natural disaster.

• Review and approve production estimates and budgets.

• Prioritize creative testing plans with our agency based on feasibility and impact.

• Facilitate a design sprint to spark innovative ideas for new acquisition tests.

• Troubleshoot schedule or mail logistics challenges.

 

 

Tasks

 

Job Responsibilities

 

Production & Process Management:

 

• Manages production process for Direct Mail and integrated campaigns in collaboration with agency partners and Integrated Channel Marketing Coordinator.

• Monitors deadlines, proactively communicates, and problem-solves with vendors, audience leads and other colleagues to keep multiple campaigns to deadline. Owns the Direct Mail campaign schedules and touchpoint plans.

• Serve as trained project management system ambassador to utilize our digital project management tool’s full capabilities. Help troubleshoot and improve project management processes with vendors and staff.

 

Vendor Management:

 

• Manages the vendor responsible for hand-written/special touch mailings to high-value donors. Tasks may include coordinating inventory and supplies to vendors, updating content on automated mailings, premium fulfillment, etc.

• Participates in RFP process for direct marketing vendors and supports procurement and contracting processes.

Supporting Audience-Led Integration Strategy:

• Collaborate with audience managers, channel managers, and Communications staff across departments to identify opportunities for integration and innovation, and lead project management for the Direct Mail aspects of the integration.

 

Creative Management and Content Strategy:

 

•  Primary reviewer of all mail creative versions ensuring messaging, imagery, and design is strong, consistent, in line with brand guidelines and MSF’s commitment to anti-racism, diversity, equity, and inclusion.

• Manages stakeholder review and approval process and helps reconcile complex conflicting edits to ensure timely decision-making.

• Facilitates creative sprint workshops for producing innovative new campaign ideas.

• Coordinates with freelancers and production vendors to produce Direct Mail and print campaigns.

 

Budget & Administration

 

• Supports program budget management such as invoice coding, quality assuring cost estimates, and monthly reconciling and reporting on budget to actuals.

• Play an integral role in the annual/reforecast budget planning process for the entire Integrated Channel Marketing team by being a part of the core budget team and coordinating logistics through budget completion.

• Hires, develops, and manages staff, creative freelancers, paid intern(s), and/or unpaid volunteers as needed.

 

 

Qualifications

 

Required

 

• 3+ years relevant experience

• Proven project management and organizational skills – including documentation

• Demonstrated expertise in vendor and stakeholder management

• Strong written and oral communication skills.

• A skilled researcher, proofreader, copyeditor, and fact checker

• Responsible, proactive, driven, and able to work independently

• A quick and enthusiastic learner with proven ability to pivot and adapt to change.

• Collaborative team player, comfortable in a fast-paced “all hands on deck” environment

• Demonstrated commitment to MSF’s principles of anti-racism, diversity, equity, and inclusion - and a proven ability to select imagery and review copy based on DEI guidelines

• Willingness to commit to the principles of MSF, passion for MSF’s mission and brand

 

 

Preferred, but not required

 

• Non-profit experience

• Familiarity with non-profit data/NPSP

• Experience with Workfront, Asana, Basecamp or other digital project management systems

• Experience with Adobe Creative Suite (especially Acrobat Pro, PhotoShop, Illustrator & InDesign)

• Understanding of print production and digital press
