Job description

CAI-NJ is looking for a full-time individual to assist the Director of Membership Development in daily member engagement operations, membership database updates with a strong focus on social media and marketing representation for the chapter. They will assist at networking events with a heavy focus on chapter relations and will serve as the first point of contact for customer service inquiries as well as in-office meetings and programs in the reception area. This position requires a team player who is willing to “chip in” wherever is needed and help support the growth and goals of the chapter.

Primary duties and responsibilities:

Supports membership & develops social content under direction of supervisor.

  • Performs Membership Updates in the database in a timely manner every month
  • Assists with changes and updates from members regularly within the database
  • Assists with new member packet mailings and database updates
  • Supports the Membership Committee with meeting deliverables and member campaigns
  • Serves as the co-staff liaison for the FAST (Young Professional) Committee supporting them on their event initiatives and philanthropic goals throughout the year
  • Assists with the Partnership Program, an additional marketing benefit for members which involves renewals, benefit reminders and marketing
  • Oversees Committee Sign Up registration from October – December in the database
  • Assists with the setup and execution of tradeshows and chapter events (may include occasional travel to local tradeshows) with focus on marketing
  • Represents CAI-NJ through social media daily posts and upcoming event information using platforms LinkedIn, Facebook, TikTok, Google, etc.
  • Creates and maintain broadcast calendar weekly with social content with approval
  • Creates and maintains email marketing campaigns daily with approval
  • Works closely with outside marketing vendors to enhance the chapters presence in print and digital media outlets

Secondary duties and responsibilities:

  • Cross trains in a variety of office support functions.
  • Handle incoming phone calls as the first point of contact, should be able to answer common questions, and direct calls to the appropriate team member.
  • Distribute and sort mail to the appropriate staff member. May be tasked with going to the Post Office or dropping deposits.
  • Maintains office supplies and equipment and works with vendors (copier service, IT, phones, etc.)
  • Ensures the office is presentable at all times
  • Demonstrate proficiency in proofreading, ensuring accuracy and attention to detail in written

materials. • Serves as a champion of membership, should always be working to create a better membership experience and grow chapter membership and involvement.

  • Other tasks, as assigned by the Executive Director and Director, Membership Development

Skills, knowledge, and abilities

Please note: This position has been developed to encourage growth provided a solid training foundation. Although the information provided below is important, a candidate who is eager to learn will be successful in this position.

  • Strong organizational skills to handle multiple overlapping activities.
  • Strong problem solving, time management.
  • Implementation of Marketing through campaigns and social media
  • Attention to detail and ability to create processes that manage detail. Able to establish and meet schedules and deadlines.
  • Proficient communication skills including public speaking, written composition, and computer operation.
  • Comfortable with graphic design and navigating design based programs
  • Able to work with volunteers while maintaining separation of staff and volunteer roles.
  • Able to work independently and effectively as part of a team.
  • Available to travel (some overnight stays required as well as candidate must be available and on-site for early morning or evening activities)
  • Able to professionally represent the association.
  • Able to lift moderately heavy boxes and equipment.

Minimum requirements

Education:

Bachelor’s degree in business or communication field preferred. Experience may be substituted for education in the primary areas required for the position.

Experience:

At least two years of experience in meeting planning and customer service administration; association experience helpful, but not required. Experience with Microsoft Office, Adobe Creative Suite, Association Management Systems and Canva is helpful. iMIS Database knowledge is preferred, otherwise training is made available to you.

Working environment

Hybrid office environment.

Must be available to attend all organizational events, some will be outside of normal office hours.

This position description is not all-inclusive. Marketing & Member Relations Coordinator may be required to perform job- related responsibilities and tasks other than those noted here, depending on the needs of the association.
