Location Requirements: This role is Hybrid to one of our offices: Austin, Malvern, or Naperville.  Remote candidates will be considered.

Marketing Events Coordinator

Frontline Education is seeking a detail-oriented, full time Marketing Events Coordinator.

What you’ll be doing:

The Events Coordinator is responsible for coordinating Frontline Education’s presence at the regional events our firm attends. This is a key role within the larger Demand Generation team that contributes directly to maximizing pipeline and brand awareness for the organization in alignment with the Event Team’s goals.

This individual will oversee a wide range of event participation components, acting as the liaison between the conference organizer and/or hotel facility contact and Frontline staff, ensuring that all logistics related to Frontline’s presence at events are effectively coordinated.

Requirements:

  • Coordinate all details associated with Frontline’s participation in regional and national events, including conferences/trade shows, client receptions, meetings and regional user groups that may be in-person, virtual, or hybrid
  • Perform research to determine and then coordinate event opportunities, requirements, and deadlines to ensure a positive experience for both clients/prospects and Frontline colleagues participating in the event
  • Negotiate and secure vendor conference contracts, which may include specifics regarding memberships, sponsorships, registrations, booths, shipping, event space, event platforms, ad space, attendee lists, communications, etc.
  • Oversee and track budgets and ensure they are adhered to
  • Communicate effectively with key stakeholders, internal departments, and outside vendors; organize and facilitate planning meetings (e.g., strategy sessions, progress checks) to ensure that all parties involved are properly informed and contributing, as necessary, to ensure that program objectives are met
  • Proactively engage with Sales Directors to optimize regional event strategies
  • Utilize event management systems to develop, execute, and report on event execution and results
  • Maintain event files, including up-to-date event details, historical records, and statistics
  • Track campaign effectiveness including ensuring all event leads are entered
  • Provide administrative support to the entire events team to include vendor orders, expense reports, and lead gen campaign creation
  • (Post-Pandemic) Under the guidance of the Events Manager, plan, facilitate and coordinate user group meeting logistics, including location/venue selection, contract coordination, and budget creation and management; develop and adhere to event timelines; work collaboratively across internal departments to facilitate billing, creative, communication, promotion, sponsorships, registration, and pre- and post-event evaluations; optimize outside vendor relationships
  • Other duties as assigned

Qualifications:

The ideal candidate will have at least 2 years of event management experience and be able to meet the physically demanding portions of the position. We seek someone who has the following qualifications:

  • Experience managing event logistics, creative, production, sponsorship contracts, venue(s), event tools, etc.
  • Proven experience working cross-functionally with internal teams, including Sales and Marketing
  • Ability to organize, multi-task, and manage multiple work streams simultaneously
  • Motivated to thrive in a fast-paced environment with short lead times
  • Ability to think critically, react quickly and remain calm in high-pressure situations
  • Ability to anticipate problems, proactively determine solutions, and shift project priorities if needed
  • Able to apply sound judgment in new or ambiguous situations
  • Proficient in Microsoft Office365 programs; familiarity with Monday.com project management software a plus
  • Experience with Cvent, Salesforce, and Power BI preferred
  • Ability to travel up to 20% to provide on-site event management, as needed
