Overview

Reports to the Vice President Total Rewards.  Responsible for overseeing and ensuring the adherence of the company’s employee benefits programs to regulatory requirements and internal policies.  The position will also lead the development and implementation of analytics strategies to optimize the effectiveness and efficiency of our Total Rewards programs. The ideal candidate should possess a comprehensive understanding of benefit compliance requirements and regulations and be adept at analyzing data to drive informed decision-making to align with Total Rewards philosophy and objectives. 


Responsibilities

 

Overall

  • Ensure compliance with all relevant regulatory requirements, including the preparation and submission of Forms 5500, Forms 990, Summary Annual Reports, Summary of Material Modifications, plan documents and Summary Plan Descriptions.
  • Supervise preparation of reports and applications required by law to be filed with federal and state agencies, such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies.
  • Partner with external auditors, finance, and accounting regarding benefit compliance and audit preparation for the plans.
  • Draft, review, and manage amendments for benefits plan documents, ensuring accuracy and alignment with company policies and regulatory standards to accommodate regulatory requirements due to changes in applicable laws.
  • Review and redline new benefit agreements and insurance policies with third party administrators.
  • Demonstrate proficiency in handling pension-related matters and provide expertise in reconciling trust accounting for 401k plans.
  • Demonstrate proficiency in non-qualified plans, including Section 409A regulations and Deferred Compensation Plans
  • Ensure compliance with all pertinent state and Federal regulations affecting employee benefit programs, including FMLA, ADA, COBRA, ERISA, HIPAA and PPACA.
  • Coordinate with external vendors, ensuring effective management and fostering strong professional relationships to optimize benefit offerings and services.
  • Develop cost information for new benefit plans and/or plan changes and work with management to determine appropriate premium cost share between employer and employee.
  • Perform data analysis based on Total Rewards benchmarking and internal data to develop specific recommendations for review by management.
  • Perform analysis to aid in the development of new, approved, or modified plans and employee benefits policies.
  • Oversee the health & welfare budget conducting monthly assessments in partnership with leadership and Finance
  • Assist in the development of the compensation merit budget and perform Long-Term Incentive analysis, contributing to strategic decision-making processes.
  • Handle additional responsibilities and ad-hoc duties as assigned, to support the overall objectives of the Total Rewards team.

Communications

  • Perform as the liaison between Finance, Accounting and external audit partners and team to ensure adherence to plan compliance and timely filings.
  • Handle pension inquiries and partner with external counsel regarding all pension-related issues, including plan audits and amendments.
  • Partner with the Benefits Manager on communications related to compliance items.
  • Proficient knowledge of Microsoft Office products (Word, Outlook, Excel, and PowerPoint). 
  • Excellent communications skills (oral and written), including grammar and punctuation, and composition skills to compose business memos/correspondence, corporate documents, summaries, reports, and simple contracts.
  • Excellent organization, interpersonal and customer service skills. 
  • Experience handling sensitive and confidential information with discretion.   

 

Analytics

 

  • Excellent analytical skills, with the ability to manage budgets effectively and provide insightful analytics for decision-making
  • Utilize analytical tools to assess the effectiveness and cost efficiency of programs to propose enhancements as necessary
  • Ability to generate comprehensive reports and presentations based on analytical findings, highlighting key insights and recommendations for optimizing benefits offerings.
  • Identify and propose innovative solutions to enhance the overall employee benefits experience and drive employee satisfaction and retention

Qualifications
  • Bachelor’s degree in human resources, Business Administration, or a related field
  • 5-years of experience in Employee Benefits Management, with strong emphasis on compliance and analytics
  • In-depth knowledge of Forms 5500, SARs, SMMs and plan documents with a demonstrated track record of successful management and oversight of these processes.
  • Familiarity with pension plans and other retirement benefits is considered a plus
  • Proficiency in using analytical tools and software for data analysis and reporting.
  • Strong attention to detail and a high level of accuracy.
  • Ability to manage time and tasks effectively; work independently and in a team environment. 
  • Ability to establish priorities and coordinate work activities.

Working Conditions/Environment

Works in a normal office environment where the employee is regularly required to speak, see, hear, sit, stand, talk, type, walk and bend while moving about the office.  The noise level in the office is quiet.
