SUMMARY

The Manager works directly with the Senior Director of Community Science Department. The Manager will conceptualize, implement, evaluate, and revise the YES Ambassadors Program & Formal Education; Manage the YES OJT (on the job training) Internship Program; implement and manage our summer job placement program for graduating YES Teens, and oversee the administration of the Formal Education program.

The Manager is also responsible for scheduling use of the Taylor Building facility for use both internal (SLSC-wide meetings and events) and external (community groups) groups, serving as liaison and contact with the community when other SLSC staff are not functioning as key contact. The Manager assists with management of all relationships with Community Based Organizations (CBO) initiated by other leaders in the department as well as cultivating and maintaining relationships related to the success of the YES Teens program and special events related to the work of the Community Science Department.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Program Operations - Teens

  • Design and manage the YES Ambassadors Program, creating all logistical strategies and processes. Identify, vet, design and oversee all Special Projects assigned to the YES Ambassadors. Ensure that YES Ambassadors have an opportunity to participate in ongoing Professional Development.
  • Coordinate all logistics for the YES OJT Internship Program working with all YES Teens during their junior year of high school.
  • Serve as liaison to external organizations, facilitating coordination and communication effectively and efficiently for the YES Ambassadors, OJT Interns (juniors), and Graduating Seniors. Create and maintain relationships with external agencies to identify placement opportunities for graduating senior YES Teens. Create and outline, guidelines, and standards for meaningful incorporation of YES Teens into the various community agencies/businesses who partner in this project, as they apply to the YES Ambassadors, OJT Interns (juniors), and Graduating Seniors
  • Contribute to Special Teen Project strategic planning process, including an initiative geared toward operational excellence.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Community Outreach

  • Cultivate and maintain relationship with Community Based Organizations (CBOs), communicating the Science Center’s vision to partners and the community. Create and maintain a system for including all partners and levels of participation with YES and Community Science events. Identify ways for partner CBOs and the Science Center to collaborate.
  • Obtain and manage partnerships for Community Science Department events and create MOUs (partnership agreements) between the CBO and Community Science.
  • Maintain database of partner CBOs. Reports weekly to the Senior Director of Community Science on impact of collaborations.
  • Plan, implement and coordinate monthly community partner meetings for CBOs. Planning and implementation of community events in coordination with CBOs.

  • Lead the planning and assigning of staff for monthly community partner meetings for CBOs.
  • Reports weekly to the Senior Director of Community Science on impact of collaborations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Teen Recruitment and Management

  • Oversee and maintain systems for the intake of new YES teen recruitment process.
  • Assist Teens and families with the completion of all hiring paperwork and processing.
  • Work with Teens and payroll to ensure their banking information is correct for payroll processing.
  • Ensure that teens enter time worked in their timesheets and YES managers approve timesheet by the payroll deadline.
  • Monitor excused and unexcused absences to ensure Teen compliance with program standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative

  • Lead the annual development and provide continual oversight of team and programming operation budgets. Assist Senior Director in the preparation of the annual budget and update financial projections based on changes in program offerings, number of teens, hours teen work, and component expenses. Review monthly financial reports from finance department and communicate progress and risk at the Senior Director level.
  • Manage the contract process for off-site students, teacher, and partner programming. Provide exemplary customer service in the role of client liaison during all phases of client engagement. Enter all program billing into the ticketing system to invoice clients. Monitor client invoice balances and follow up with clients to ensure payment for services.
  • Complete all room/space requests for all department programming and activities.
  • Complete all grant application program narratives and manage all awarded grants. Develop timeline for all grant expenditure, outcomes, and reporting. Review and code all related grant expenditures to corresponding grant project. Complete any program related grant narratives and monitor close out of the grant.
  • Record all program statistics relating to activities, outcomes, teen demographics, and YES alumni. Prepare reports on events covering attendance, significant issues, recommendations for changes, and maintain accurate attendance records for department events.
  • Communicate operational needs with other Science Center departments to ensure program and project success.
  • Participate in the coordination of all activities, events and programs done by the Community Science Department, to increase visibility. Prepare reports on events covering attendance, significant issues, recommendations for changes, and maintain accurate attendance records for department events.
  • Manage procedures for maintaining supplies in coordination with YES managers.
  • Perform other duties as assigned.

SUPERVISORY RESPONSIBILITIES

  • Directs full scope of supervision to YES Ambassadors, including training, coaching, evaluation, workflow management, and corrective actions.
  • Work in tandem with the CS Manager to ensure appropriate training for teens as well as paid and volunteer staff throughout the agency who will work with this specialized group of teens.
  • Recruit and manage volunteers working with the YES program.

QUALIFICATIONS

  • Demonstrated success in project management of large and sometimes complex projects.
  • Experience in supervising multiple paid and volunteer staff, especially teenagers.
  • Demonstrated success working with diverse teens in a youth development and/or science education capacity.
  • Demonstrated success in developing and maintaining external relationships.
  • Self-starter with the ability to work independently.
  • Ability to adapt to changing priorities and unpredictable situations.
  • Remains calm in a crisis and can make quick decisions that are effective and appropriate.
  • Ability to work some evenings and Saturdays during the school year and most weekdays during the summer.

EDUCATION and/or EXPERIENCE

Undergraduate degree and two years’ experience as a manager in a small to medium size non-profit or governmental organization desired. Demonstrated ability to work successfully with teens and young adults.

PHYSICAL DEMANDS

Must be able to lift to 40 lbs. unassisted.

WORK ENVIRONMENT

Highly varied and unstructured.
