Pay range:
$85,176.00 - $136,302.00Responsible for operational oversight of all hospital registration and upfront financial functions within the Patient Access Services department. Supervises the Patient Access Coordinators, Training Coordinator, and Financial Counselors who assist in admission of outpatient, emergency, inpatient, and surgery services, while also providing financial counseling and point of service collections. The manager also oversees the daily operations of the Centralized Scheduling Department, whose staff incorporates service scheduling, insurance verification and account pre-registration functions. Closely coordinates with the Business Office, Health Information Management, Utilization Review, Shift Administrators, clinical areas, physicians and their office staff.
The manager analyzes data and assess existing processes continually looking for process efficiencies and improvement of customer satisfaction. Performs service recovery with patients, physician offices and hospital departments. Develops workflows that form a cohesive and effective plan and promotes teamwork and departmental flexibility.
- Provide leadership for effective service:
- Select qualified and competent employees; provide orientation and continuing education and development.
- Communicate Overlake Hospital’s vision and priorities and facilitate development of team and individual goals in alignment with organization goals.
- Establish performance expectations and provide coaching to achieve positive results. Recognize effective performance, and address performance-needing improvement in an honest and timely manner.
- Empower staff to make decisions by providing information and tools.
- Serve as an effective role model of Overlake’s Shared Values and encourage staff to develop and demonstrate those values.
- Continually assess and improve services provided to meet or exceed the needs and expectations of customers. Foster continuous quality improvement by leading teams in use of quality management tools and processes.
- Manage organizational resources with fiscal responsibility and promote effective allocation and utilization. Maintain staffing appropriately according to call and admission volumes. Reviews and provides analysis on budget variance reports on a monthly basis.
- Manage the recruiting, training and oversight of Centralized Scheduling and Patient Access staff to ensure efficient use of staff resources. Encourages professional growth of self and staff.
- Work with clinical department managers to maintain scheduling systems to ensure accurate and updated scheduling time slots.
- Manage the process for direct financial operations of upfront collections through all hospital registration sites. Monitor and track results while maintaining internal controls over cash receiving functions.
- Plan ongoing staff education of phone, fax and eligibility system, insurance contracts, medical terminology, collection techniques and customer service as needed.
- Support the Director in staffing and operations of the Patient Access department on a 24 hour/7 day a week schedule:
- Professional greeting, way finding and transportation services to patients, families, physicians and the public
- Register patients in main registration areas or the bedside for direct admits
- Secure and monitor patient valuables
- Patient education of rights and responsibilities, communication modifications and patient feedback
- Financial counseling
- Point of Service collections
- Insurance eligibility and verification.
- Accurate demographic and financial data systems
- Designate and ensure system work in various work queues for completion in a timely manner by appropriate staff
- Provide required Medicare notifications to appropriate patients
Qualifications:
- Bachelor’s degree required.
- Two years’ experience in a similar position within a hospital or related field required. One-year leadership experience required.
- Knowledge of and experience with automated systems required. Working knowledge of Microsoft Windows and Excel preferred. Strong organization skills required. Effective verbal and written communication skills. High-stress climate requires the ability to conduct several projects simultaneously and maintain stability in the department.
