Job description

Position Overview: The primary role of the Nursery’s Compliance and Safety Manager is to provide oversight, guidance, and support for the key areas within the Nursery which are required to maintain higher-level compliance standards under federal, state, and local Compliance and regulation. And under the umbrella of the human resources department which focuses on enhancing the people and culture experience at the Nursery, this role is also responsible for monitoring safety and security practices are adhered by providing training and support throughout the employee life cycle at the Nursery. This includes, but not limited to:

· Providing oversight to the Nutrition Services team, ensuring that meals and snacks are provided and served under the USDA and CACFP guidelines and Safety standards.

· Providing general IT support on-site while acting as a primary point of contact at the Nursery for contracted IT services at the Nursery ensuring hardware and software are up to date while also ensuring that cybersecurity and Safety data storage practices are enforced.

· Providing accounting support to the Finance and Operations director utilizing best practices under local, state, and federal regulations and policies.

· Provides guidance as a key member of the Safety Committee.

Nutrition Services

· Provides supervision to nutrition services team ensuring that coverage and Safety standards are followed.

· Ensures that compliance standards with USDA School Meal Guidelines are being followed as well as all state, local, and national regulations concerning licensing and safe food handling.

· Assure constant cleanliness and maintenance of kitchen and equipment with custodial staff.

· Maintain knowledge and compliance to governmental and licensing standards including but not limited to Dept. of Health, OSHA, Fire Codes, and Dept. of Human Services.

· Works collaboratively with Volunteer Services Manager to coordinate efforts in ensuring “Cooks For Kids” (CFK) volunteers are adhering to safety standards and practices.

Information Technology

· Sets up and maintains user profiles.

· Assists new hires with technology at on-boarding.

· Updates Groups for Outlook email as needed.

· Manages contracts/purchases of new devices & office equipment (phones, laptops, printers, software & computer accessories)

· Oversee device assignments (e.g. phone, laptop) and any associated service costs.

· Serves as primary contact for IT Contractor – Success Consulting Services and internal staff. Which also includes a quarterly review with Success Consulting Services.

· Provide daily support for server issues, internet issues, network printers, telephone systems, cell phones and general support for troubleshooting any issues related to hardware operability.

· Maintain relationships and work with vendors and stakeholders to troubleshoot and ensure systems efficiency.

· Manages the technology infrastructure and business operations; provides vision, critical analysis and evaluation of information systems.

Accounting

· Provides routine accounting support to Finance & Operations Director.

· Handle aspects of Accounts Payable and Accounts Receivable.

· Import all revenue entries exported from the Development database, reconciling all information with available documentation and ensuring accuracy.

· Maintaining all supporting documentation for revenue entries.

· Prepare allocation reports for monthly expenses including mobile phone account and office supplies.

· Create journal entries for in-kind supply and in-kind professional labor expenses.

· Complete monthly bank account reconciliation.

· Prepare and submit monthly billing for reimbursements under all service-based contracts.

· Assist with tracking expenses tied to grants as needed.

· Communicate with grantors in relation to billing and annual budget requests.

· Provide support during the Annual Audit relative to A/P and A/R.

· Assist Finance & Operations Director with related projects as requested.

Qualifications

Education/Work Experience:

· Bachelor’s Degree or equivalent experience, including demonstrated experience working in an office or non-profit environment.

· Experience accounting with non-profit and fund accounting preferred.

· Experience with Microsoft Office 365.

· Experience with accounting software, Sage, Abila, or Razor’s Edge preferred.
