Mail Operations Specialist - Level 2
Location: La Crosse, WI
Salary: $18.64 per hour
Type: Temp
Schedule: Current hours are 7 am – 3:30 pm, and possibly transitioning to 7:30 am – 4:00 pm after the first of the year.

Responsibilities:
- Operate mail equipment including inserters, sorters, and finishing tools in a high-speed, high-volume automated environment.
- Perform charge-back reporting for various mail-related services like postage, air express, local delivery, and faxes.
- Execute production mail labeling and mail merge processes.
- Coordinate automated and manual finishing and mailing processes for client materials.
- Maintain and implement distribution and tracking systems, utilizing customized software for mailing address updates.
- Process, sort, and handle mail documents, packages, and supplies, notifying and delivering to recipients.
- Record and process accountable mail information, resolving mail problems with delivery services.
- Prepare and coordinate outbound mail and packages for external shipment, including USPS pickups.
- Conduct quality checks on outbound mail and validate internal mail addresses.
- Perform various mail services including fax, air express, and postal services.
- Complete shipping forms manually or electronically as per job tickets.
- Conduct finishing work on documents to be mailed, including folding and insertion.
- Perform fulfillment tasks such as assembly, packaging, shipping, and tracking.
- Follow mailroom security procedures and employ barcode tracking or face scanning for incoming mail and packages.
- Manage shipping and receiving using automated systems, track activities, and replenish inventory.
- 1-2 years of experience and knowledge in mail procedures and operating mail equipment.
- Minimum: High School diploma or equivalency.
- Ability to lift and move up to 50 pounds.
- Proficient in reading, writing, and following English instructions.
- Intermediate PC/Internet skills: downloading/installing files, completing/saving/printing Internet forms.
- Proficiency in MS Word and MS Excel or equivalent software.
- Familiarity with relevant applications like Adobe Acrobat and graphic arts software.
- Competence in determining output packaging per standards and driving (if required).
- Competency in using various mail equipment and shipping systems.
- Strong customer service, communication, and multitasking abilities.
- Capability to work with minimal supervision, perform data entry and use production mail software.
- Skill in estimating and scheduling mailing jobs and mentoring other mail associates.
