Lincoln Middle School Bookkeeper/Office Assistant (23-24 School Year) Job Title: LMS Bookkeeper/Office Assistant Reports to: Building Principal Bargaining Group: Non-Represented FLSA Status: Non-Exempt Terms of Employment: 198 Working Days + 12 Paid Holidays/8 hours per day PAY: $23.13-$27.16 depending on experience QUALIFICATIONS:Education/Certification:High school diploma or GED Special Knowledge/Skills: Knowledge of general secretarial proceduresProficient knowledge of various software including Outlook, Word, and ExcelKnowledge of correct English usage, grammar, spelling, and punctuation both verbally and writtenOrganize and prioritize work to meet with multiple demands in a pressure situation while maintaining a high level of quality work.Ability to remain flexible to changes in work assignments or situationsAbility to Work with minimal supervision and be flexibleAbility to accurately perform arithmetic calculationsAbility to screen and treat minor student illnesses or injuriesAbility to maintain accurate recordsAbility to follow instructionsAbility to maintain confidentialityAbility to establish and maintain positive and approachable public relations skills in working with students, parents, staff, and the general publicAbility to work with colleagues in a collaborative mannerWorks with high level of energyEnjoys working in the athletic and activity arenaEnjoys working with Middle School-aged students PREFERRED QUALIFICATIONS:Minimum of two years training and/or experience as a general bookkeeper or an equivalent, with additional accounts payable experience preferredKnowledge of banking and purchasing processesAbility to drive a car, possess a valid driver's license, and provide own vehicle RESPONSIBILITIES AND DUTIES:Depending upon individual school needs, this position performs all or a combination of several of the following duties: OFFICE:Serves as office receptionist; answers and responds to telephone and in-person inquiries from students, parents, and the publicOrients substitute employeesChecks substitutes in and outReceives, sorts, and distributes mail; prepares outgoing items for mailingProvides basic first aid care to ill or injured students in the absence of the school nurse; calls parents and arranges for transportation home as necessary; administers medication as authorizedMaintains student attendance records; posts daily attendance; enters data on computer. Prepares monthly enrollment as required by State LawProcesses attendance/payroll for building staffTypes a variety of forms, memoranda, and correspondence; type materials for teachers and other staff as requested. Duplicates and distributes materialsMonitors behavior of students in the office area; oversees behavior of students sent to office for disciplinary reasonsOrders, processes and maintains office materials and equipmentMaintains inventory records; annually inventories supplies and materialsMonitor building use - submit maintenance work orders as necessaryMaintains student files and other records; Pulls files and compiles information for listings as requestedCoordinates homework assignments for ill or absent studentsPerforms a variety of related duties as assigned by school administratorFood Service check-in for breakfast/lunch, maintain all paperwork/reports and enter free/reduced application.Other duties as assigned ASSOCIATED STUDENT BODY: Collect school fines, write fine statements and mail Distribution of annuals ASB bookkeeping Purchase ordersAccounts payable All school deposits and banking Record-keeping and filing by account name Preparing budgets with advisors ASB clerical Process incoming ASB orders Annual state audit Student fees and record-keepingASB cards - distribution and record-keepingMaintain fund-raising records for activities ATHLETICS:Prepare for event ticket sales and cash boxesAthletic record-keepingAssist the Athletic Director with secretarial dutiesKnowledge of schedules Supervisory Responsibilities:None.
Equipment Used:Personal computer, printer, copier, fax, calculator, intercom Working Conditions: Office environment; secretarial duties require dexterity and precision. Experiences frequent interruptions. Required to attend to ill or injured students.
