The Leisure Sales Coordinator is responsible for coordinating all aspects of social, leisure ad hoc and series groups in a high-volume setting. The Leisure Sales Coordinator will also be responsible for working closely with business contacts and property operations/food & beverage to ensure an efficient and consistent procedure for processing group bookings. The position will directly support the Senior Leisure Sales Manager and Director of Leisure Sales.
ROLE EXPECTATIONS
Responsibilities include, but are not limited to, the following:
  • Maintain exceptional customer service in every interaction point.
  • Input sales leads.
  • Prepare proposals, regrets, contracts, and addendums.
  • Process countersigned contracts, deposits, booking recaps, changes and communicate group requirements to all relevant departments.
  • Prepare and distribute weekly reports (i.e. GRC, arrival/departure information and food & beverage requirements.
  • Updates accounts, bookings, changes, and cancellations and ensure all information is correct.
  • Assist in planning of sales manager travel, client events and site inspections.
  • Track spending and expenses.
  • Maintain clean database and log activities according to system standards.
  • Answer phones and support customers with service requests in a timely manner.
  • Create and update sales collateral and presentations.
  • Run reports as requested by sales leadership.
  • Participate in team training and growth opportunities.
  • Perform other reasonable duties and responsibilities as assigned.

SUPERVISORY RESPONSIBILITIES
  • This position works directly with the Sales team but does not have direct supervisory responsibilities.

REQUIREMENTS
  • Minimum 2 years of hospitality sales administration experience.
  • Strong organizational skills, solution-driven, analytical thinker.
  • Proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, etc.
  • Excellent written and oral communication skills.
  • Proactive with an attention to details.
  • Able to set priorities, work schedules, and meet department deadlines.
  • High School Diploma or GED (required)
  • At least 21 years of age.

PREFERRED
  • Proficient in Envision (or equivalent sales/catering software systems) and Opera or equivalent hotel property management system preferred.

CERTIFICATIONS, LICENSES, REGISTRATIONS
  • Must be able to qualify for licenses and permits required by federal, state and local regulations.

PHYSICAL REQUIREMENTS
  • Must be able to work under time constraints and within established deadlines.
  • Must regularly lift and/move up to 10 pounds, and must have the ability to push, pull, reach, bend, twist, kneel and balance when performing job duties in varying work areas such as confined spaces.

WORKING CONDITIONS
  • Work is performed indoors in a climate-controlled environment and exposed to various environmental factors such as but not limited to noise, dust and smoke.

Compensation: $20.00 - $22.00 per hour
