Job Description
Reception Duties:
- Greet and assist clients and visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Manage mail and email correspondence.
- Schedule and confirm appointments and meetings.
- Maintain a tidy and presentable reception area.
Administrative Support:
- Perform clerical duties, including filing, photocopying, transcribing, and faxing.
- Assist in preparing and organizing documents for meetings and court appearances.
- Manage and maintain electronic and hard copy filing systems.
- Order office supplies and maintain inventory.
Legal Support:
- Assist in drafting legal documents such as pleadings, motions, and correspondence.
- Conduct basic legal research and gather relevant information for cases.
- Coordinate with clients to collect and organize evidence, documents, and other case-related information.
- Assist in case management and track deadlines.
Client Interaction:
- Provide clients with updates on their case status.
- Handle client inquiries and direct them to appropriate staff.
Compliance and Confidentiality:
- Ensure confidentiality of all client information and legal matters.
- Adhere to law firm policies and legal regulations.
Qualifications:
- High school diploma or equivalent; a degree in a related field or a paralegal certificate is a plus.
- Proven experience in an administrative or reception role; experience in a legal setting is preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in office software (e.g., Microsoft Office) and experience with legal case management software.
- Ability to work under pressure and meet deadlines.
- Knowledge of legal terminology and procedures related to personal injury law is beneficial.
- Bilingual in English and Haitian Creole, with strong proficiency in both written and verbal communication.
