Carlton Fields is seeking a Legal Administrative Assistant for its Hartford office.
This is an opportunity to become an integral member of a team of attorneys and staff in handling a wide array of administrative tasks in the commercial real estate practice area.
Qualifications:
- Candidate will have a minimum of five to seven years of real estate/transactional experience.
- Must demonstrate professionalism, confidentiality, initiative, flexibility, organizational skills, client service skills and the ability to be proactive.
- Must possess mastery of Microsoft Word and Outlook.
- Experience with Microsoft Excel and document management systems is preferred.
- Ability to multi-task and prioritize tasks in an accurate and efficient manner based on business needs is essential.
- Must demonstrate strong work ethic and ability to anticipate the needs of attorneys and paralegals.
- Must be dependable, thorough and possess the ability to work independently.
- Strong communication, interpersonal, teamwork and customer service skills, and ability to interact effectively with all levels of management and staff and a variety of external entities including clients and prospective clients of the Firm.
- Assisting attorneys in preparing, proofreading and revising documents
- Assisting paralegals and attorneys in the closing transaction process through completion, including being proactive in following up on outstanding closing matters with title company, client or other counsels.
- Maintaining files and records electronically and via traditional means.
- Preparing closing binders in accordance with client requirements.
- Submitting client business intake and conflicts requests.
- Time entry, client billing and submission of expense statements, vendor invoices and sponsorship forms.
