SUMMARY:

A customer service superstar, the Leasing Office Coordinator is a welcoming and helpful point of contact for all Leasing Office visitors (residents and prospects), enjoying the opportunity to positively influence customer experience at the city’s tallest rental tower, the award-winning NEMA Chicago.

RESPONSIBILITIES:

· Be a welcoming source of help, assistance, and information for all residents and guests.

· Predict residents’ needs and find creative customer-focused solutions; inform supervisor of any resident issues or concerns.

· Demonstrate full and comprehensive knowledge of the building including all departments, services, amenities, and functions.

· Assure community compliance with Fair Housing requirements and all applicable laws, codes, and ordinances.

· Follow all company protocol for move-ins and move-outs.

· Help streamline policies and procedures.

· Follow up regularly with residents on customer service requests, move-ins, move-outs and inquires.

· Assist in scheduling and coordinating resident events.

· Take leasing calls and conducts leasing tours when necessary.

· Responsible for programming and deactivating keys for move-ins, move-outs, transfers, and renewals.

· Cover receptionist desk as needed.

· Walk property consistently to ensure quality assurance and works with maintenance team to address any potential issues that need to be addressed.

· Audit and organize files, obtain missing documents, facilitate coordination of completion of work orders when necessary.

· Maintain company customer service standards and respond clearly and in a timely manner to residents’ needs and complaints. Follows through to ensure resolution.

· Confirm new residents have activated service with appropriate utility companies.

· Maintain current property management database as resident submits notice to transfer.

· Provide thorough building orientation to new move-ins.

· Maintain and coordinate move-in calendar with maintenance team to ensure that all move-in units are scheduled for make ready.

· Maintain storage, bike storage, pet, and parking logs.

· Maintain a positive and professional attitude towards residents, guests, vendors, and coworkers.

· Comply with brand quality assurance, uniform and appearance expectations and standards.

· Act as a brand ambassador to residents and as a service role model to teammates and encourage others to do the same.

· Maintain a high level of communication and feedback within the department, and across other departments.

· Remain proactive in all areas of operation, seeking ways to improve resident experience.

· Assist in coordinating and implementing special projects as directed.

· Perform all other job-related duties as assigned.

QUALIFICATIONS:

· Hospitality-focused approach to service.

· Excellent customer service, problem-solving, and multi-tasking skills.

· Thorough attention to detail.

· Computer skills including proficiency in Microsoft Office Suite (Outlook, Word, Excel).

· Experience in residential apartment management and knowledge of applicable laws and regulations.

· Ability to multi-task and adapt to changing priorities.

· Knowledge of property management software

· Must interact effectively with all levels of employees and external contacts.

· Ability to function effectively in a collaborative team-oriented environment.

· Ability to work independently with minimal supervision.

· Must work well under pressure, exercise good judgment when making decisions and handle stressful situations in a mature, professional manner.

· Proactive and deadline oriented.

· Customer service experience preferred.

· Excellent verbal and written communication and interpersonal skills to interact with residents and guests.

EDUCATION and/or EXPERIENCE:

Bachelor’s Degree and two (2) years of related training or experience, or an equivalent combination of education and/or experience. Computer skills including: internet, e-mail, (MS Outlook) MS Excel, and MS Word. Knowledge of database and real estate property management applications.

Ability to read, write and comprehend simple instructions, correspondence, memos, and reports. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems solving several concrete variables in standardized situations.
