This position is an integral part of our commercial real estate leasing team. The Leasing and Marketing Associate will facilitate the preparation and execution of the division’s commercial leasing efforts, including the assemblage of essential documents, developing strategic plans for available space, researching competitive spaces and tactics, navigating marketing channels and ensuring successful administrative operations. Frequent communications with Highwoods coworkers, in-house and outside legal counsel, existing and prospective customers, tenant real estate brokers and other community members is required.
Lease Admin:
- Licensing for brokers/leasing Team
- Manage leasing-related prospect and customer information within applicable tracking software (Salesforce List Master)
- Track and manage the distribution of leases, commission agreements, and commencement agreements sent out to new customers and brokers.
- Coordinate the DocuSign process for the items above.
- Help the leasing team generate reports from internal systems that track customer leasing information.
- Coordinate delivery of commission checks to outside brokers.
- Schedule and manage leasing meetings and construction meetings for the leasing team.
- Track monthly customer move-in and move-out activity and distribute within the division.
- Handle travel arrangements and expense reporting for the leasing team and division VP
Leasing:
- Participate in various components of the leasing process:
- Set up vacant spaces for prospect tours
- Space tours with leasing agents
- Show spaces to prospects as needed
- Maintain Highwoods space availability on Costar LoopNet and use the same to help with prospect tracking for the leasing team.
- Set up and scheduled property tours for the leasing team.
- When needed, assist with property tours and/or meetings with prospects, vendor partners, and customers.
- Learn and become proficient in the LeaseLink deal analysis tool and assist the leasing team w/same.
- Collect marketing information on competitor properties.
- Visit vacant spaces to help determine the marketing strategy for these spaces.
Marketing:
- Manage channels where Highwoods' available spaces are marketed, including the HIW website, LoopNet, Costar, and Highwoods internal “blue sheet”.
- Help maintain marketing materials that the leasing team sends to prospects and brokers.
- Send marketing emails to targeted prospects and brokers that highlight spaces available.
- Maintain and manage our outside brokers' list, which the leasing team uses for emails, events, and other communications.
POSITION REQUIREMENTS:
- Strong written and verbal communication skills
- Ability to manage time and accommodate the diverse needs of a busy office environment.
- Strong Interpersonal skills with the ability to establish successful customer relationships.
- Proficiency in MS Office, including Word, Excel, PowerPoint, Outlook, and OneNote
- Experience with Adobe Creative Suites a plus

EDUCATION / EXPERIENCE:
- Bachelor’s degree required.
- Three to five years experience working in an office environment preferred
- Real estate experience preferred but not required (knowledge of office leasing or commercial real estate helpful)
