Jr. Executive Assistant, Engineering Operations

Location: Flex/Office in Cambridge (3 days in office)


The mission of Engineering Operations is to support the Product, UX, and Engineering teams to drive the business forward and succeed at scale. Coordinating across all of these functions, Eng Ops helps teams run effectively by streamlining processes, creating best practices across the org, and ensuring daily operations run smoothly. In addition, Eng Ops works to build connection, community and belonging in our org, so that we can foster a healthy, happy, and high-performing culture.

We are seeking a Jr. Executive Assistant to join HubSpot's Engineering Operation team who is passionate about providing top-tier support to our leaders and employees, while thinking creatively about how we can continuously improve the employee experience and optimize their time so they can focus on growing better.

In this role, you'll get to:

  • Manage the daily calendars of 4 leaders, handling all incoming/outgoing meeting requests.
  • Support the leadership team in the preparation of All Team meetings, AMAs, and team offsites - this may include ownership of the agenda, arranging and managing logistics and pulling content together.
  • Collaborate with a network of HubSpot Executive Assistants and Coordinators on cross-team backup support and broader company initiatives.
  • Partner closely with our Product & Engineering Employee Experience Team to arrange and support a number of cross functional team events.
  • Organize regional office events and programming.
  • Book office spaces and local venues for in-person events.
  • Assist in event management and travel preparation for large-scale marquee events.
  • Process expense reports, open purchase orders, coordinate payments, and manage relationships with external vendors.

We are looking for people with:

  • Proven track record of success providing administrative support or coordination in a high-performing, fast-paced environment.
  • Maintain a high velocity of support while balancing multiple channels of requests.
  • Remarkable drive, bias for action, and enthusiasm for exceptional customer service, no matter how large or small the request.
  • Ability to effectively prioritize and manage the needs of multiple stakeholders
  • Outstanding organizational skills.
  • Exceptional written and oral communication skills; capable of interaction with employees at all levels of HubSpot, including executives, as well as guests and external contacts.
  • Comfortability with ever-changing technology and proficiency in Microsoft Office Suite and/or Google Apps.
  • Ability to deal with ambiguity and prioritize tasks in response to unexpected changes in priorities/requests.
  • Ability to take a proactive approach to tasks and be comfortable working with minimal instruction and guidance; impeccable attention to detail.
