General Description:
This position manages multiple budgets and performs critical IT procurement tasks. Overarching duties includes purchasing, account reconciliation, maintaining a college-wide software catalog, financial analysis and forecasting.
Duties and Tasks:
- Budget management tool is organized and accessible to IT procurement team
- Budget is reconciled on a weekly or bi-monthly basis
- Hardware and/or software requests are submitted within 2 business days of identified need
- Requests for expediated orders are executed within the requested timeframe
- eVA receiving is requested within 3 business days of order delivery, invoicing, or completion of work, whichever comes last
- Payment processing is requested within 1 business day of eVA receiving
- Responds promptly to vendor inquiries regarding payment or order specs
- Communicates with VCCS, SSC and other agency contacts promptly and professionally
- Reports and presentations are clear, concise, accurate, and completed by the communicated deadline
- Software catalog is updated monthly and includes required purchasing, contractual and subscription information to sufficiently respond to audit and/or security requests
- Audits responses are submitted in within the requested timeframe
- Input and assistance is provided as needed and when requested
- Work with IT procurement team to modify college IT procurement process as needed in response to relevant regulatory or policy changes
- Provide input and assist in workflow creation and procurement-related process improvements, such as IT policies and procedures, eform development, data collection and presentation, and work distribution within a team environment
- Consolidate and organize
- Review relevant state, VCCS and college policies and regulations annually to ensure agency compliance in IT procuremen
- Staff and faculty have a better understanding of IT purchasing policies and processes
- Issues and inquires and addressed and resolved in a timely manner
- Procurement or budget-related inquires and/or issues are appropriately escalated when necessary
- Quotes are provided to staff and faculty within 1 business day of receipt from vendor
- Order delivery and eVA receiving status is communicated to staff and faculty within 2 business days of delivery/receiving
- Assist and educate college staff and faculty on IT purchasing policies and processes as needed
- Respond to staff and faculty requests for information or resolution regarding procurement or budget-related inquires and/or issues
- Escalate procurement or budget-related inquires and/or issues to college IT leadership or SSC as needed
- Request IT equipment quotes for staff and faculty
- Maintain communicate with staff and faculty on order delivery and eVA receiving status
