Job Summary:
Under the general supervision of the hospital manager, the client care representative will assist EVCOT Staff by coordinating communication, primarily financial, to pet owners by proactively managing and coordinating the owner's account. Invoicing coordinators are responsible for accurately capturing charges to the client’s account, taking deposits, and notifying the DVM when an account needs further deposits. The Invoicing Coordinator is also a backup to the receptionist staff, and should answer phones and assist in reception duties as needed.
Essential Duties and Responsibilities:
Primary job duty is to review charts and enter the appropriate charges as per our invoicing manual
Secondary duties are to back up receptionists
Proficient in practice management software (VIA): able to invoice; fax, scan and e-mail records; burn radiographs to CD; e-mail radiographs; print ultrasound reports
Answers all liaison calls in an efficient manner; employs professional phone etiquette and takes accurate and complete messages for hospital staff; Advises callers and clients on the cost of examination, financial policies, and driving directions.
Fields questions and inquires about services and triage.
Know common drugs and protocols and be able to explain them to clients.
Establishes initial client records and ensures that clients fill out initial paperwork completely; answers any preliminary client question regarding care or finances.
Accurately and efficiently enters client information into VIA
Handle calls from pet owners. Resolve the reason for the call or route to the appropriate staff person.
Performs financial transactions including initial payments and additional payments as requested by the veterinary team. Provides seamless financial checkout when a patient is discharged.
Is familiar with the acceptable types of payment and is able to offer clients guidance when seeking financial options for care; has a working knowledge of CareCredit and the terms that EVCOT offers.
Demonstrates clinical triage expertise, the ability to obtain vitals and weight of patients, and outstanding customer service.
Maintain positive, cooperative relationships with other employees
Perform other duties as requested by veterinarian on duty
