CLASSIFICATION: Personnel System - Requires satisfactory completion of a six month probationary period.
PAY GRADE: 111
SAFETY SENSITIVE: Yes - Subject to random drug testing per the Athens-Clarke County Drug and Alcohol Ordinance
Purpose of Job
The purpose of this job is to perform functions associated with maintaining an inventory of supplies and parts used in the Transit Department. Duties and responsibilities include, but are not limited to: tracking location and level of supply items; disbursing supplies; maintaining inventory levels; soliciting purchase bids; preparing reports and forms; operating equipment; documenting and maintaining Inventory Control; and performing additional tasks as assigned.

WORK SCHEDULE: Monday Through Friday 8:00AM - 4:30PM
May be required to work on religious holidays.
Regular and predictable attendance is required.
Must work cooperatively with others.
When requirements include vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by ACC's safe driving policy.High school diploma or equivalent required, and one year of experience in purchasing, procurement, or related responsibilities required; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.
Associate's degree or Vocational degree in Business, Finance, or related field preferred.
Must obtain a certification to operate Powered Industrial Lift Truck within twelve months of hire date.
Must possess a valid driver's license. The following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Utilizes Fleet Management Software to maintain parts Inventory Control system with OEM part numbers; maintains a locator system by part name, part number, application, and shelf location number for all parts and supplies, and stocks all parts and supplies in designated areas to ensure an adequate inventory of parts and supplies. Updates Fleet Management Software parts file as parts are restocked.
Maintains the tire inventory statistics in Fleet Management Software; places order for tires with the tire contractor to keep the tire supply above the required minimum level; maintains tire mileage data and locations of tires; reports monthly miles to contractor to determine the cost of rental services for tires.
Utilizes Underground Storage Tank Monitoring System and Fuel Management System to maintain Underground Storage Tanks and oil and fuel inventory; obtains bids and places orders for oil, lubricants, diesel fuel and gasoline stocks to keep the fuel and fluids supply above the required minimum level. Reviews system reports daily to monitor current fuel inventory. Poll Fuel Management Software daily transactions, edit transactions, and Export file to Fleet Management Software, edits transactions for accurate product quantity and vehicle miles.
Prepares requisitions for purchase orders and authorizations for payment forms, including invoice verification; prepares master vendor forms to be added to the authorized vendor lists maintained by the government. Monitors invoices for payment deadline and processes invoices to the purchasing division and finance department according to Athens-Clarke County procedures.
Receives all deliveries; verifies invoices for price, quantity, OEM part, and condition of ordered items; monitors backordered supplies, damaged parts, and parts on warranty for like-item replacement. Records deliveries into Fleet Management Software.
Researches, orders and receives parts for the specialized transit vehicle systems. These include Cummins Diesel engines, Allison Transmissions, Lift-U wheelchair lifts, electronic destination signs, transit vehicle body parts, electronic brakes, electrical components and fare boxes. If necessary, researches nationwide for vendors that can supply parts, supplies and services that are not readily available, seeks parts for like-item replacement; determines parts price and serviceability, obtains bids and orders parts.
Develops specifications for Transit purchases and correspondence.
Assists with grant procurements; researches and reviews manufactures equipment and products; complies with Federal Transit Administration (FTA) guidelines for grant compliance; maintains record and budget balance; and assists with meeting grant deadlines.
Maintains safe, clean, and secure work area and stockroom.
Posts vehicle maintenance inspection schedule; prepares and posts inspection data. Operates, maintains and updates computerized Inventory Control system for parts inventory, work orders, inspection reports, master vehicle inventory, fuel inventory, and periodic reporting.
Processes and ships engine oil samples, transmission fluid samples, antifreeze samples, and differential oil samples for analysis; prepares information sheet to accompany each sample.
Maintains files for grants, invoices, and purchasing files. Maintain files in proper fiscal year in an orderly/organized manner.
Processes Fleet Management Software Reports; Road Call Report; and Fuel Management Software Reports for monthly close out by the fifth of each month.
Conducts a physical inventory of parts and supplies twice a year to ensure the accuracy and worth of the department's assets as directed; compiles asset information as required by annual department internal audit.
Answers the telephone and two-way radio, provides information; takes and relays messages and/or directs calls to appropriate personnel; returns calls as necessary. Responds to routine requests for information.
Performs related duties as required.
Knowledge, Skills and Abilities
Knowledge of the policies, procedures, and activities of the Transit Department as they pertain to the performance of duties relating to the position of Inventory Control Clerk I.
Knowledge of the terminology used within the department.
Knowledge regarding Transit vehicle parts and supplies sufficient to perform required duties.
Knowledge of a wide variety of buses, heavy equipment and automotive parts, maintenance operations, general office practices and procedures, bus washers and hydraulic lifts.
Knowledge of work orders, invoices, oil sample results, diagnostic reports, packing slips, etc., and procedures and methods as required in the performance of duties.
Skill in the use of computers, adding machines, and other office equipment.
Skill in the use of two-way radios.
Skill in the use of forklifts, V-Root monitor systems, service trucks, etc.
Skill in the use of various software packages.
Ability to compile, organize, prepare and maintain an assortment of records in the proper fiscal year in an orderly/organized manner, and according to departmental and/or Athens Clarke County Unified Government and Federal Transit Administration.
Ability to communicate effectively with supervisors, other staff members, and vendors.
Ability to use independent judgment in routine and non-routine situations.
Ability to handle mathematical calculations, including invoicing and account spreadsheets.
Ability to utilize and understand computer applications and techniques as necessary in the completion of daily assignments.
Ability to plan, organize and/or prioritize daily assignments and work activities.
Ability to comprehend and apply the regulations and procedures of the department.
(ADA) MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

PHYSICAL REQUIREMENTS: Must be physically able to operate a variety of machinery and equipment including a forklift, pickup truck, computer, calculator, two-way radio, and telephone. Must be able to use body members to work, move or carry objects or materials. This position requires: stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing, seeing, and repetitive motion. Must be able to exert up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently. Physical demand requirements are at levels of those of medium work.

MOTOR COORDINATION: Requires the ability to coordinate hands, fingers, and eyes accurately in using equipment. Requires the ability to use the keyboard, lift, bend, push, and pull objects or materials using body parts as the position necessitates.
MANUAL DEXTERITY: Requires the ability to handle a variety of items such as office supplies, computer supplies, and small tools. Must have the ability to use one hand for twisting or turning motion while coordinating other hand with different activities. Must have moderate levels of eye/hand/foot coordination.
COLOR DISCRIMINATION: Requires the ability to differentiate between colors and shades of color.
INTERPERSONAL TEMPERAMENT: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under minimal stress when confronted with an emergency.
